Event Management Operations Expert 

 

Main purpose:
 

The main purpose of this role is to manage participants for both German and international Bayer events, addressing their travel and accommodation needs while providing technical support for virtual and onsite events. Acting as the primary contact for Health Care Professionals, press, and other key stakeholders, the role also ensures that all administrative tasks related to these events are completed promptly and in compliance with regulations, facilitating smooth execution of both internal and external events

 

Your Tasks & Responsibilities:
 

  • Oversee participant management for German and international Bayer events, both internal and external.
  • Address travel and accommodation needs to ensure a seamless experience for participants.
  • Provide technical and consulting support for virtual events to facilitate effective engagement.
  • Act as the primary contact for Health Care Professionals, press, and key stakeholders, ensuring effective communication and support.
  • Drive continuous improvement of processes and services to remain competitive in a dynamic event environment.
  • Ensure high satisfaction levels among Healthcare Professionals and major stakeholders, impacting their perception of Bayer.
  • Complete all administrative tasks for national and international events promptly, ensuring compliance with regulations and smooth execution.
  • Communicate with stakeholders, including agencies, project managers, and accounting, regarding invoices, purchase orders, and other inquiries.
  • Checking and processing of external invoices- releasing for payment
  • Manage filing, data maintenance, content review, report creation, communication, and compliance documentation.
  • Address challenges such as invoice status inquiries, file revisions, and missing supplier assignments in Cvent.
  • Prepare and distribute event materials.
  • Optimize and develop processes independently, both internally and cross-departmentally.
  • Create and update training materials for internal and external use.
  • Familiarize oneself with new processes and work topics independently.
  • Solve problems independently based on specific requirements.
  • Conduct onboarding for new colleagues and agencies.

 

Who You Are:
 

  • University degree in Event Management, Tourism Management or equivalent and/or an apprenticeship in Event Management or office clerk.
  • Very good IT knowledge (MS Office, Cvent, InEvent)
  • Very structured and self-driven work attitude as single contact point for each event is needed (due dates need to be meet, cancellation fees need to be proactively managed)
  • Very professional and customer focused mindset in handling participant management, very good skills in English (written and spoken) needed; German language min. B2 (written and spoken; preferred C1) is a must.
