About the team
The Congress Project Manager is a part of the Global Meetings and Events (GME) team that sits within the Global Business Services (GBS) organization at AstraZeneca. This team is responsible for delivering best in class events following an SMMP (Strategic Meetings Management Program). This role will support improving congresses as a key channel to implement disease strategy and to advance the care of patients suffering from rare and devastating diseases.
About The role
The Project Manager will deliver best-in-class face to face and hybrid Congress planning services with a focus on the RDU (rare business disease unit). The congress team is responsible for coordinating how the business shows up at congresses as the leader in rare disease in an increasingly competitive environment. The team has a goal of providing a similar experience to KOLs and key collaborators, is strategic about the investments we make to enhance the impact of the congress channel on our business, and works collaboratively across brand teams, and other functional collaborator groups.
Accountabilities
The ideal candidate will have strong project management, problem solving, negotiation and social skills, and be able to work with little supervision. Candidate must be highly organized, flexible, thrive in a fast-paced and highly regulated environment, be willing to collaborate with other areas where needed and handle multiple projects with tight deadlines. Candidate should understand the business objectives, culture and be able to keep up with evolving priorities. Candidate will chip in to broader organization programs and company goals.
End-to-end accountability to plan and complete congresses (face-to-face/hybrid) by working in collaboration with the relevant business owners, multiple collaborators, Associations, external and in-house partners for all aspects of a Congress. The role is responsible for overall operational planning which includes site visits, virtual platform management, supplier recommendations, contract negotiations, budgets, creation and ownership of project plans, leading project team calls, attendee logistics oversight and on-site support.
- Connect with cross-functional teams to define objectives & success measures and how we want to "show up" at Global & National reach congresses.
- Act as internal congress authority, advising teams on sponsorship level, investment, and congress activities, including booth space, booth design, symposia, and sustainability considerations.
- Operational management of exhibition booth, symposia, sponsorship, housing, and budget management, using Cvent and following GME established processes where required.
- Provide strong project management with the ability to communicate and collaborate effectively across all levels of organizations, both internal and external.
- Understanding of external regulatory codes across major markets and Congress locations, i.e., ABPI/EFPIA, alongside AstraZeneca/Alexion internal policies and reporting requirements
- Understand the therapy area key priorities and congress presence strategy.
- Handle workload and priorities to maintain a healthy work-life balance.
- Identify creative solutions to find cost saving opportunities while adapting to constantly evolving business needs.
- Be an active member of the broader GME team, be a good role model, support benchmarking, drive standard processes and knowledge sharing.
- Effectively work alongside external vendors and internal collaborators while establishing collaborative relationships.
- Travel to and support and complete all assigned congress.
- Accept change and find opportunities where least visible.
Requirements
- Experience in congress management, knowledge of pharmaceutical congress industry, codes and practices, minimum 3-5 years.
- Experience in leading teams and driving performance through external suppliers.
- Experience with virtual and/or hybrid events.
- Ability to deliver and remain resilient within a fast paced, dynamic, changing environment.
- Demonstrated excellent written and verbal communication skills, negotiation, collaboration, conflict management and social skills.
- Demonstrated financial/budget proficiency.
- Have a compliance mind-set with strong focus on adherence to industry guidelines, company policies and financial clarity.
- Proven track record to act independently and be resourceful in approach to problem solving.
- Strong communications, negotiation and influencing skills; ability to lead to desired outcomes.
- Proficiency in MS Office tools (MS Teams, Word, PowerPoint, Excel).
- Experience with large meeting and events planning (100+ attendees).
- Ability to travel by airplane, boat, rail and/or car, when required (up to 25%)
Desirable
- Cvent platform experience
- Knowledge of methodology for process improvement
- Bachelor's degree or equivalent experience.
- Event industry qualifications (e.g. CMM, CME)
- Team management
- Knowledge of global pharmaceutical market and strong understanding of external collaborators including physicians, payers, and patients.
