Job description

Glen Raven is recruiting for a Brand Activation Coordinator which is responsible for assisting, coordinating, and supporting all executional tasks for company tradeshows, trade and consumer facing events, corporate meetings, and other brand activations both physical and digital – for brands across the Glen Raven portfolio. Projects will primarily activate in the US, with the possibility of international project assignments.

The Brand Activation Coordinator is an integral role, residing on the Brand Activation team, reporting directly to the Associate Manager, Brand Activation, focused on bringing our brands to life through brand activations. 

The Coordinator will be especially skilled in planning, communication, organization, attention to detail, and follow-thru. The Coordinator will directly assist the Associate Manager  by ensuring the annual project calendar is executed on-time, on-budget, on-brand, and leaves our customers with a lasting and dynamic experience.   

The Coordinator is a member of the Brand Activation team and will participate in team planning, will ideate on process improvements, and will support growth initiatives outlined for Brand Activation Team 

This role has the opportunity for a hybrid work from home and in office schedule.

Responsibilities: 

  • Support the development and planning of the annual project calendar, project budgets and project approach 
  • Handles coordination of project details from start to finish 
  • Builds pre and post project presentations, presenting information in project meetings 
  • Tradeshow/Events/Meeting responsibilities: 
    • Coordinate sponsorship advertising and tactics 
    • Management of marketing software systems (Workfront, CVent, OnBase, B2B Portal, Showpad) 
    • Set up, manage, and adjust project timelines and details using Workfront project management software 
    • Builds pre/post communication through presentation formats  
    • Pre/Post trade show email blasts 
    • Pre and post-show lead retrieval set-up 
    • Booth property inventory ordering and management with internal/external partners 
    • Literature fulfilment inventory management  
    • Literature ordering and coordination 
    • Inventory of tradeshow items 
    • Shipping and receiving of tradeshow materials 
    • Ordering of fabric for tradeshows  
    • Record and update tradeshow calendar deadlines 
    • Attendee registration 
    • Manage room listings of all shows/meetings 
    • Show/conference paperwork and forms 
    • Assist Associate Manager with meeting RFP’s 
    • Association membership renewals and payments 
    • Physical set up of event environments 
  • Diligently handle pre-show requirements: 
    • Check company listing on show website  
    • Complete company profiles on show website 
    • Ensure product submissions are handled efficiently 
    • Coordinate sponsorship assets and prepare/ship as necessary 
  • Handle post-show requirements:  
    • Lead retrieval follow up  
    • Receive and verify returned show items 
    • Organize and inventory show items monthly and as returned from show site 

Education and Experience:

  • Bachelor’s degree in Business, Marketing, Communication, Event Management, Entrepreneurship, related field, equivalent education or related training 
  • Up to 2 years of experience working in tradeshows or events (or related experience) 
  • Perficient with Microsoft Office, Project Management Software, Adobe Creative Suite, Travel Platforms 
  • Excellent verbal and written communication skills 
  • Ability to elicit cooperation from a wide variety of sources 
  • Demonstrate flexibility and problem-solving skills 
  • Must be able to drive and travel 
  • Excellent organization, prioritization, and decision-making skills 
  • Strong communication, interpersonal and leadership skills  
  • Self-motivated, strong work ethic and professional character 
  • Positive and flexible mindset with ability to pivot on shifting priorities 
  • Highly task and detailed oriented, timeline savvy and efficient
