Job Overview

We are seeking an accomplished Event Manager with a focus on Congress events to join our esteemed Pharma Operations team in a fully remote capacity. In this critical role, you will oversee the logistics and operational intricacies of a variety of congresses, ensuring a seamless execution. You will be expected to provide creative solutions and demonstrate superior project management abilities, meticulously attending to every detail.

Key Responsibilities

  • Collaborate effectively with internal teams to ensure all deliverables are achieved and budgets are adhered to, while aligning client expectations with their vision.
  • Foster and optimize relationships with third-party vendors and suppliers.
  • Engage with various service providers, including convention venues, hotels, content creators, media partners, transportation services, and technology providers.
  • Support both US and global Key Opinion Leaders (KOLs) and Healthcare Professionals (HCPs), managing speaker logistics as part of the Congress components.
  • Travel on-site to oversee all event requirements and staff for high-profile events.
  • Ensure that all events comply with regulatory and client-defined guidelines.
  • Conduct weekly team calls via Zoom, including detailed note-taking and agenda management; proficiently create and manage PowerPoint presentations for these calls.
  • Communicate clearly with stakeholders regarding actions and deadlines; facilitate decision-making within the team to meet goals and timelines.
  • Maintain thorough financial records and documentation.
  • Cultivate and maintain strong, positive relationships with Congress contacts and all associated parties on behalf of the client.

Required Skills

  • Exemplary organizational skills and keen attention to detail.
  • Ability to manage multiple projects simultaneously, prioritize tasks, and delegate responsibilities effectively.
  • Strong communication skills, with the ability to build relationships and present information professionally.
  • Proficiency in Microsoft® PowerPoint, Word, and Excel.
  • Knowledgeable in financial and accounting principles, with experience in budget preparation and evaluation.
  • Skilled in business negotiations.
  • Excellent interpersonal abilities, demonstrating flexibility and sensitivity to diverse needs.
  • Proactive approach to problem-solving, with a holistic understanding of how each component contributes to overall objectives.
  • Experience working collaboratively with cross-functional teams.
  • Capacity to inspire enthusiasm and commitment among team members to meet client objectives.
  • Strong sense of urgency, accountability, and ownership.
  • Customer service experience and ability to promptly respond to both external and internal inquiries.
  • Willingness to commit the necessary hours to fulfill project requirements and deadlines.
  • Ability to travel up to 25-30% of the year.

Qualifications

  • Bachelor's degree in Business, Hospitality, Liberal Arts, Public Relations, or Communications.
  • A minimum of three years' experience in event management, or at least two years within our Event Management division.
  • Proven track record in managing events, with clear details outlined in your resume regarding specific events and roles undertaken.
