Job description

Job Title: Property Management Administrative Assistant - Remote | WFH

Job Overview

We are on the lookout for a proactive and detail-oriented Property Management Administrative Assistant to join our esteemed organization. This pivotal role will report directly to the CEO and Controller, necessitating seamless communication and collaboration. The ideal candidate will exemplify high ethical standards, nurture positive relationships, and demonstrate exceptional organizational skills. Key Responsibilities

  • Oversee the management of business licenses, housing licenses, and health licenses for newly acquired properties.
  • Administer payment of property taxes, corporate agent fees, state taxes, and ensure timely license renewals.
  • Accurately complete and submit necessary documentation, including 592⁄592-V forms, and manage owner distribution checks.
  • Process paystubs and maintain precise financial records.
  • Manage and verify the accuracy of utility accounts, ensuring continuity for active properties and facilitating disconnection when properties are sold.
  • Collect, scan, and distribute mail from the local PO Box, ensuring efficient mail processing.
  • Label and track company inventory, managing equipment issuance to employees.
  • Review general ledgers and prepare loan draw application packages for lenders.
  • Handle accounts payable and receivable, including managing bank balances, processing invoices, and coordinating deposits.
  • Conduct monthly reconciliations and payments for online travel agent reservations while processing transient occupancy tax payments for a small hotel property.

Required Skills

  • Previous experience in property management or administrative roles is essential.
  • Proven ability to multitask effectively, prioritize responsibilities, and maintain exceptional verbal and written communication skills.
  • Strong customer service orientation and proficiency in the Microsoft Office Suite, particularly Excel.
  • Ability to adhere to a full-time schedule (Monday through Friday, 8:00 AM - 4:30 PM) at our corporate office.

Qualifications

  • A background in property management, administration, or related fields is required.
  • Must possess a valid driver’s license and successfully complete a motor vehicle history check, as travel may be necessary for company purposes.
