Job Overview

We are seeking a highly organized and proactive Executive Assistant to join our dynamic People Operations team in a fully remote capacity. This role is designed for individuals who are passionate about providing exceptional administrative support to senior executives, enhancing their efficiency, and facilitating effective communication across various stakeholders.

Key Responsibilities

  • Schedule and Calendar Management: Efficiently coordinate appointments, meetings, conferences, and travel arrangements, ensuring optimal time management and prioritization of tasks.
  • Information Management: Systematically organize and maintain files, records, and confidential information for seamless access and retrieval. Conduct research, compile data, and prepare reports or presentations as required. Update and maintain the client’s CRM.
  • Project Coordination: Oversee ongoing projects to ensure adherence to deadlines and track progress. Collaborate with team members to collect necessary information for smooth project execution.
  • Relationship Management: Build and maintain positive relationships with key stakeholders, including clients, partners, and team members. Coordinate meetings, prepare agendas, and document minutes as necessary.
  • Travel and Logistics Coordination: Arrange travel plans, including flights, accommodations, and transportation. Prepare detailed itineraries and provide essential travel information to ensure successful business trips.
  • Financial Administration: Assist in managing financial duties such as expense tracking, invoice processing, and budget monitoring. Collaborate with the finance department and external vendors as needed.
  • Meeting Support: Prepare meeting materials, agendas, and presentations. Attend meetings, take notes, and follow up on action items to ensure effective communication and documentation.
  • Task Delegation: Identify and delegate tasks to other team members or external service providers. Track the completion of delegated tasks to ensure timely and accurate execution.
  • Miscellaneous Support: Provide comprehensive administrative support, including drafting and proofreading documents and managing other ad hoc tasks as required.

Required Skills

  • 3-5 years of experience as an Executive Assistant.
  • Proficiency in CRM management.
  • Exceptional organizational and time management abilities, with a strong capacity for effective prioritization.
  • Excellent written and verbal communication skills, enabling professional interaction with stakeholders at all organizational levels.
  • Proficiency in virtual communication tools and project management software.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Strong attention to detail and adept problem-solving capabilities.
  • Self-motivated and proactive, capable of working independently while meeting deadlines.
  • Flexibility to adapt to varying time zones.

Qualifications

  • An undergraduate degree is required.

Compensation And Benefits

  • $20 per hour.
  • Fully remote position.
  • Paid Time Off (PTO).
