Job Overview

We are seeking a highly organized and proactive Executive Assistant to become an integral part of our innovative product design agency. This remote, part-time contract position offers exceptional opportunities for professional growth and advancement within our dynamic team.

Key Responsibilities

  • Calendar & Meeting Management: Ensure schedules are efficiently managed, coordinating meetings and facilitating seamless operations.
  • Email Management: Oversee the inbox, respond to communications promptly, and ensure that essential messages are handled with professionalism and clarity.
  • Outreach & Coordination: Assist in outreach initiatives to potential clients or partners, manage follow-up communications, and maintain a polished approach in all interactions.
  • Project & Task Management: Utilize project management tools such as ClickUp or Notion to track progress and meet deadlines effectively.
  • Client & Vendor Communication: Act as the primary liaison for clients and vendors, coordinating communications and ensuring clear and effective dialogue.
  • Research & Sourcing: Conduct research on potential leads or vendors and compile well-structured summaries to support informed business decisions.
  • Video Updates & Training: Create engaging video updates and training content using asynchronous tools like Loom, requiring comfort on camera.

Required Skills

  • Exceptional writing skills and the ability to communicate effectively through various platforms, including email, phone, and video.
  • A strong sense of organization, attention to detail, and a proactive mindset to ensure efficient task completion.
  • An inquisitive nature with a desire to learn about new topics and technologies.
  • Familiarity with marketing tools, such as website builders and Google Analytics, as well as basic design tools like Canva.
  • Proven ability to manage multiple projects and tasks simultaneously in a fast-paced environment.
  • Prior experience in remote work is essential, showcasing an understanding of independent productivity.
  • Technologically savvy with a quick aptitude for learning new tools; prior experience with Slack, ClickUp, and Loom is advantageous.
