Job description

This is a remote position.

Job Title: Executive Assistant

Schedule: Monday to Friday, 9am to 6pm Eastern with an hour unpaid break

Job Summary: We are seeking a proactive and detail-oriented Executive Assistant to provide high-level support, managing both personal and professional tasks for the CEO. The ideal candidate will handle event planning, communication management, and project coordination, while ensuring a seamless flow of daily operations.

Key Responsibilities:

  1. Event Planning:

    • Organize personal and business-related events, ensuring all logistics are handled efficiently.
  2. Contact Management:

    • Maintain a detailed social calendar for the CEO's contacts, including tracking birthdays, anniversaries, addresses, and family names.
  3. Communication & Content Creation:

    • Respond to LinkedIn messages, generate content in the CEO’s voice, and manage correspondence, such as introductions, follow-ups, and sharing of notes or artifacts.
  4. Project Management:

    • Take meeting notes and manage follow-ups on CEO-driven initiatives and direct report projects.
  5. Relationship Building:

    • Proactively engage with and maintain relationships with the CEO’s network, facilitating smooth communication and connection.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Strong organizational skills, with an ability to prioritize tasks and multitask.
  • Excellent communication skills (both verbal and written).
  • Ability to generate content that mimics the CEO’s style and tone.
  • Familiarity with project management tools.
  • Experience in event planning.
  • Proficiency in Microsoft Office Suite and LinkedIn.
