Reporting to the Director of Corporate Services, this role provides high-level support to senior leaders, including the VP of Corporate Operational Services and Directors of Safety, Supply Chain, and Corporate Services. Key responsibilities include managing executive calendars, coordinating purchase orders, formatting documents and presentations, and organizing meetings and team events. You'll also collaborate with other administrative across Enmax teams to ensure seamless operations.

This role requires discretion in handling confidential information and the ability to make independent decisions to plan, organize, and prioritize tasks effectively, ensuring smooth departmental operations.

Major Responsibilities:

  • Manage multiple calendars, resolve conflicts, schedule meetings, and prepare agendas/minutes.

  • Handle correspondence, process invoices, create purchase/work orders, and maintain confidential documents.

  • Book travel, arrange catering, AV support, and organize on/off-site meetings, events, and workshops.

  • Prepare financial performance reports and manage corporate credit card reconciliations.

  • Manage office supplies, courier services, and departmental files (electronic and paper).

  • Maintain Infolink/SharePoint files and oversee compliance with corporate filing standards.

  • Manage room bookings, parking, equipment orders, building notifications, and lockers.

  • Administer onboarding, equipment procurement, and access setup for new employees

  • Identify efficiencies, recommend improvements, and troubleshoot computer/system issues.

  • Prepare monthly reports, review contracts, track renewals, and assist with budgeting.

Education Required:

  • Post secondary education

Qualifications & Experience:

  • 6 or more years of administrative experience

  • In-depth knowledge in using systems and programs and serves as a resource to others

  • Experience in supporting projects and delivering customer service

  • Intermediate level of proficiency with MS Office Suite (Outlook, Teams,Word, PowerPoint, Excel and Visio), Adobe Acrobat, PowerPlan, Office 365 and InfoLink

  • Experience with WorkDay and Maximo

  • Excellent written and oral communication

  • Strong attention to detail

Salary: Administrative Assistant Level D (Current CUPE 2024 rates)

$67,687.26 - $71,912.75, $76,158.08, $80,383.58, $84,609.07

Location:  141 - 50th Avenue SE

Location:  This role will be part of our hybrid (home and office) work force with office workspace located at ENMAX Place (141 - 50th Avenue SE, Calgary, AB). You will work from home on Mondays and Fridays and in the office on Tuesday, Wednesday, and Thursday.
