Job Overview

We are actively seeking a dedicated Part-Time Administrative Assistant who possesses exceptional organizational skills and a keen eye for detail. This role will allow you to make meaningful contributions to a vibrant team while utilizing your proficiency in QuickBooks invoicing and general administrative duties. Familiarity with School Bus Transportation Contracts, Out-of-District Student Transportation, and McKinney-Vento Student Contracts will be considered advantageous. This position provides the flexibility of remote work options, enabling you to collaborate effectively with our team to maintain seamless daily operations and precise financial oversight.

Key Responsibilities

  • Generate and dispatch invoices to clients using QuickBooks, either monthly or as required.
  • Monitor payments and follow up with clients on overdue accounts.
  • Keep meticulous records of invoices, payments, and communications with clients.
  • Collaborate with school districts regarding potential contracts and bids.
  • Manage student and driver schedules, ensuring adequate shift coverage.
  • Respond to emails and phone inquiries in a timely and professional manner.
  • Arrange and coordinate meetings and appointments.
  • Prepare and manage spreadsheets, reports, and other critical documents.
  • Assist in organizing company records and performing various administrative tasks as needed.
  • Support team members by streamlining office processes and offering suggestions for enhancements.
  • Answer incoming calls and direct them as necessary.
  • Maintain and update team calendars, scheduling meetings and appointments.
  • Organize meetings and accurately record minutes for distribution.
  • Draft and send professional emails, memos, and other correspondence.
  • Contribute to company reports and ensure data accuracy and timeliness in updates.
  • Maintain an orderly filing system and revise office procedures as appropriate.

Required Skills

  • Proficiency in QuickBooks and invoicing techniques.
  • Strong computer skills, particularly in Microsoft Word, Outlook, and PowerPoint.
  • Familiarity with standard office equipment such as printers and fax machines.
  • Outstanding organizational abilities with the capacity to manage time efficiently and prioritize multiple tasks.
  • Excellent attention to detail and a proactive approach toward problem-solving.

Qualifications

  • A high school diploma or GED is required; an associate degree or relevant administrative training is preferred.
  • Previous experience as an Administrative Assistant or in a similar capacity is essential.
  • Experience with QuickBooks and knowledge of transportation-related contracts would be a significant advantage.
