Key Responsibilities

  • Accurately enforce and articulate company policies and procedures.
  • Collaborate with front office personnel to effectively manage workload.
  • Provide comprehensive administrative support to the Office Manager, Treatment Center Director, and clinical supervisors.
  • Promote a positive, safe, and ethical workplace.
  • Execute general administrative duties including phone handling, data entry, scanning, filing, and exceptional customer service.
  • Serve as a liaison between the treatment center and administrative office, facilitating billing, marketing, member services, and human resources functions.
  • Oversee scheduling updates and communicate changes clearly to ensure an organized work environment.
  • Review daily schedules and reports for billing compliance.
  • Maintain updated staff and client rosters along with all necessary documentation and credentials.
  • Manage facilities operations, including vendor coordination, equipment function, and safety regulation adherence.
  • Process payments and manage financial transactions.
  • Coordinate the center calendar and assist in planning events and projects.
  • Offer tours to visitors and potential employees.
  • Support supply management, organization, and procurement.
  • Complete additional responsibilities as assigned.

Required Skills

  • High school diploma or equivalent.
  • Minimum one year of administrative experience.
  • Reliable transportation with proof of auto insurance and a valid driver's license.
  • Proficient in Microsoft Office Suite.
  • Excellent verbal and written communication abilities.

Qualifications

  • Experience with practice management software and scheduling is preferred.
  • A confident and assertive demeanor.
  • Strong problem-solving capabilities.
  • Ability to maintain confidentiality.
  • Proven reliability and excellent time management/organizational skills.
  • Bilingual skills are advantageous.
