Job description

SSP is seeking a Proposal Coordinator to support the Customer Transformation Organization (CXO). 
 
This individual will be responsible for delivering high quality, technically competent, winning proposal responses by leading, managing and performing corporate proposal/opportunity development from bid decision through contract award. Focus will be on proposal generation for utility and telco focused GIS-related services and product sales. Proposal generation will include ownership of most written components of the proposal, including project design for services and tailored product overviews, with input as needed from technically minded Sales Engineers.
 
The Proposal Coordinator will receive opportunities and deadlines from Customer Solutions Group Manager, lead the process of scoping the services efforts (with support from others as needed), review and conduct quality checks of the written statement of work and/or response to RFX, and finally, refine the response components during negotiations in the sales cycle. Client interaction is required primarily in the scoping portion of the process and final submittal of proposal documents; the Sales Account Executives and CXO Consultants and Solution Architects will handle all other client interaction.

This is a remote, work-from-home position.

For each opportunity presented, your challenge is to:
  1. As necessary, work with Sales and CXO team to execute a "scoping call" with the customer to vet the specifics of the requirements.
  2. Develop and follow a comprehensive proposal management plan (or Capture Plan) including leading proposal meetings (Bid/No Bid, Kick-off, Technical/Pricing Reviews, etc.), and managing production and delivery of proposals
  3. Determine and obtain the level of internal technical support required and identify proposal responsibilities and milestones
  4. For services requirements: provide oversight and work closely with key subject matter experts including CXO Solution Architects/Consultants and other delivery and product technical staff to design and develop a high-quality response in line with SSP standards
  5. Using content provided by Solution Architects as needed, ensure a polished, persuasive and comprehensive statement of work and/or response to RFX is completed. This will typically include, at a minimum: solution/project overview, project detail (an organized narrative depiction of every task to be performed - not a bulleted list), and a complete list of assumptions.
  6. Coordinate all proposal support resources (including Account Managers, Product Managers, SMEs, CXO/CSG, pricing, legal, etc.) and be responsible for integrating materials into final proposal documents and reviewing and editing team’s materials for compliance, messaging, and completeness
  7. Refine the project/solution design, and related updates to documents, as needed, based on negotiation managed by the sales account executive
  8. Perform proposal document formatting and quality control, as well as ongoing development/ maintenance of boilerplate/qualifications materials
  9. Ensure proposal are submitted on or before customer deadlines
  10. Track proposal status and progress through the sales lifecycle and support proposals/teams through the shortlist, negotiation and award stages
 
Successful applicants will have narrative technical writing experience, direct experience in the US utility and/or telecom industries, and a general understanding of technology project design and implementation processes. Experience with Microsoft project, or a willingness to learn this application, is required.
 
Preferred Qualifications:
  • Polished narrative technical writing experience, with examples
  • 2+ years working at a US distribution electric or gas distribution utility
  • 3+ years working in a similar role in utility or telco industry
  • General understanding of technology implementation project design and implementation processes
  • Experience with Microsoft Project, or willingness to learn
  • Strong attention to detail
  • Ability to manage multiple parallel workstreams
  • Ability to prioritize work to meet multiple deadlines
