Global Service Administration

At Alfa Laval Nijmegen B.V. we develop, sell, and produce equipment for the maritime industry, to help them combat harmful emissions with our Exhaust Gas Cleaning portfolio. We also provide essential safety equipment with our Inert Gas Systems, which we have been supplying for over 50 years. Alfa Laval is a market leading brand with a strong customer base consisting of shipowners and yards.  

About the job

The ‘Global Service Administration Employee’ is responsible for taking care of the administrative tasks within the customer service department. Majority of these tasks are related but not limited to the Global Field Service Operations.

  • Prepare quotations and generate orders for site support, service visits, commissioning and training.
  • Keep administrative overview of all information related to service visits.
  • Check and process expense reports, time sheets and other documents of the Field Service Engineers.
  • Generate orders for warranty claims and jobs.
  • Correspondence with Alfa Laval Sales and Service Companies.
  • Process invoices, check and approve.
  • Credit Control monitor customer’s payment and follows up proactively.
  • Control and process invoices from travel agencies and other travel related matters .
  • Prepare and send invoices for customers and ensure that these are correct and complete.
  • Responsible for managing and actuate the debtors summary list, and follow up.
  • Answer questions of customers by phone and email.
  • Receipt and process of generic invoices.

  • MBO working- and competence level;
  • 4 - 5 years of experience in a similar position;
  • Experience with multi-cultural International Organization;
  • In depth knowledge of Microsoft Office.

  • Excellent written and oral communication skills in English.
