Position Summary
This is a position within the Department of Neurosurgery research administration team. The team is fully remote, but local staff may come into the office (Mid Campus Center) for training and occasionally for meetings. The department’s research administration team currently consists of 5 individuals: 2 Research Administrators, 1 Senior Grants Specialist, 1 Grant Assistant, and 1 Senior Analyst Finance/Planning. Neurosurgery research administration staff are assigned a portfolio of faculty. The Department of Neurosurgery has approximately $20M in grant funding annually.
Job Description
Primary Duties & Responsibilities:
May plan and develop research division budgets.
Oversees payroll function, including visas, identifies and assigns payroll to appropriate sources, enters directly into HR Systems, and prepares annual payroll.
Supervises the purchasing function, ensuring maximum utilization of funds. Approves purchasing documents and guides purchasing staff on appropriate expenditures according to specific grant policies.
Prepares and analyzes monthly financial reports on all research accounts and distributes/discusses with Principal Investigators.
Works with PIs to provide fund management and make any necessary budgetary changes.
Prepares, analyzes, monitors, and manages grant budgets and ensures appropriate and timely expenditures and reconciliation of funds.
Works with PI to develop, compile, and submit the grant according to established agency/university guidelines. Enters budget online, obtains signatures, etc.
May coordinate the submission and post-award activities for clinical trial studies; prepare forms and materials for the Center for Clinical Studies, work with PI to prepare a budget, obtain pricing quotes from other Departments; confirm CPT code for billing MD time; determine standard of care measures versus those strictly for research, prepare and submit invoices according to final executed contract, track receipt of checks from the sponsor and ensure they are deposited in the correct fund.
Works with OSRS to ensure timely implementation of contracts and subcontracts.
Transfers PI grant files into Wash U and to new institutions or departments.
Closes grant accounts; submits final progress report and invention statement (if applicable) to the appropriate agency. Obtains signatures and forwards grant financial status reports.
Assists PIs with internal and external requests for grant-related information.
Creates, addresses, and processes correspondence with granting agencies.
Organizes and maintains grant files.
Conducts fund searches for PIs. Assists PI with obtaining potential grant applications/ instructions with help from OSRS.
Responsible for the oversight and day-to-day management of research administration.
Serves as liaison between faculty/staff in communicating policies and procedures.
Implements and maintains procedures to ensure efficient workflow; responsible for the proper training of staff.
Completes special projects as directed by the senior management.
May maintain personnel records; directly oversee scheduling of employees, evaluation process and personnel problems.
Works with PI to develop job descriptions for new positions or promotions.
Reviews and screens job applications and applicants; conducts interviews, hire and/or make recommendations for hiring new personnel.

Salary Range
$65,900.00 - $112,700.00 / Annually
The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
