Job description

Title: Program Officer (Grants Systems and Operations) - Remote

Reports to: Assistant Director of Strategic Partnerships & Outreach

Salary: \(85k-\)95k annually

Job Status: Full-time (40 hours/week); Exempt (Temporary - Ends 6/30/25, pending funding renewal)

Location & Hours:

  • Hours: Monday-Friday, 9 am to 5 pm, with occasional weekend work required.
  • Remote with Flexibility: While this position is primarily remote, attendance for certain events in person may be required. Must reside in California.

Position Overview

In the role of Program Officer (Grants Systems and Operations), you will be crucial in facilitating the efficient functioning of our grant systems. Your responsibilities will include managing the technology and processes integral to our grant-making initiatives, ensuring they align with our organizational mission. Additionally, you will provide support for peer-run warm line programs throughout California, with a focus on timely grant disbursement by the fiscal year's end.

Key Responsibilities

  • Administer and manage grant management software systems (Salesforce, AkoyaGo, Microsoft 365, Adobe, Power BI).
  • Ensure data integrity and streamline processes to enhance grant operations.
  • Continuously assess and refine grant processes for improved efficiency.
  • Oversee logistical aspects of grants, ensuring compliance with all regulations and preparing detailed reports for stakeholders.
  • Provide training and technical assistance to staff and grantees on using grant management systems.
  • Collaborate with program and finance teams to align grant processes with overall organizational goals.
  • Maintain accurate and well-managed grant-related data and prepare regular performance reports.
  • Coordinate the development and timely submission of grant applications, ensuring all deadlines are met.

Required Skills

  • Bachelor's degree in social sciences, public health, or a related field (or equivalent experience).
  • Strong experience with grant management software and IT systems (Salesforce, AkoyaGo).
  • Proficient in Microsoft Office Suite (Word, Excel, SharePoint, PowerPoint) and Google Drive.
  • Excellent communication and organizational skills.
  • Ability to multitask and work both independently and collaboratively.
