This is a remote position.

Job Overview: 

As an Executive Assistant, you are responsible for managing complex calendars, arranging travel, handling correspondence, preparing documents, and assisting with company events and meetings. With minimal direction, the Executive Assistant uses discretion and independent judgment to prioritize conflicting needs, address urgent matters promptly, and ensure the successful completion of projects. You will demonstrate strong organizational skills, a proactive approach, and the ability to manage multiple tasks under deadline pressures while maintaining confidentiality and professionalism. 

Job Description:
  • Performs executive administrative duties at the highest level, using significant discretion and independent judgement to prioritize conflicting needs, expeditiously and proactively handle matters as they arise, and follow projects to successful completion, often dealing with deadline pressures and interruptions.
  • Managing Calendars scheduling meetings, appointments, interviews, and travel
  • Making travel arrangements, including booking flights, hotels, and vehicle rentals.
  • Email and correspondence management
  • Prepare and proofread documents and reports including RFP responses, sales proposals, and weekly status reports, and other documents.
  • Assist in planning and organizing company events, meetings, and conferences.
  • Perform other administrative duties as assigned to support the CEO and executive team



Requirements
  • Experience: Minimum of 2 years of relevant executive assistant or administrative experience in a fast-paced, professional environment.
  • Proactive Problem-Solver: Ability to anticipate needs, address issues as they arise, and proactively find solutions to challenges with minimal supervision.
  • Professionalism: Strong interpersonal skills with the ability to interact professionally and effectively with clients, vendors, and internal teams at all levels.
  • Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with the ability to quickly learn new software and tools as needed.
  • Attention to Detail: Excellent attention to detail in all tasks, from document preparation to scheduling and event coordination, ensuring accuracy and completeness.
  • Adaptability: Ability to take direction well and remain flexible in a dynamic, fast-changing work environment, while quickly adjusting to new priorities and deadlines.
  • Time Management: Strong ability to manage multiple tasks simultaneously, work under tight deadlines, and maintain a high level of productivity and organization.
