WHO WE ARE LOOKING FOR

Payroll Specialist

The Payroll Administrator is responsible for supporting the Payroll Manager in the full cycle payroll process, including local, state, and federal taxes, levies and garnishments, and maintenance of the payroll system as it pertains to payroll processing. This role also facilitates the reconciliation processes for the payroll function and ensures compliance with payroll and hour laws.

This is a full-time, remote position.

WHAT YOU’LL DO

  • Process multi-state bi-weekly and ad-hoc payroll for employees accurately and timely. This includes reviewing and/or calculating wages, overtime, deductions, and bonuses.

  • Generate finalized and correct payroll reporting after bi-weekly payroll processing and provide additional payroll reporting by request.

  • Ensure an employee-centric approach in responding to requests and questions from employees and management regarding payroll issues and discrepancies.

  • Ensure compliance with federal, state, and local payroll regulations and tax laws. 

  • Coordinate the reconciliation of payroll accounts and resolve discrepancies, working closely with the accounting department to ensure all invoices are provided in a timely fashion.

  • Collaborate with the benefits and leaves team to ensure accurate and timely processing of employee benefits and deductions.

  • Assist with year-end payroll processes, including W-2 preparation and distribution.

  • Stay updated on changes in payroll regulations and tax laws and ensure compliance.

  • Manage the interface for Flexible Spending Accounts and 401(k) accounts, performing periodic audits to ensure accuracy of the data sent. 

  • Research and recommend process improvements and payroll systems/updates.

  • Assist in internal and external audits, including but not limited to the annual 401(k) audit.

WHAT YOU BRING

  • 3+ years payroll experience or equivalent combination of education and experience.

  • Associates Degree or equivalent education and/or on the job experience.

  • Strong understanding of payroll principles, practices, and regulations.

  • Proficiency in payroll software (e.g., Workday, ADP, Paychex) and MS Office, especially Excel.

  • Employee-centric with excellent customer service, both internally and externally.

  • Able to identify process efficiencies with attention to detail.

  • Able to operate effectively in a team environment with both technical and non-technical team members.

  • Strong organizational and time management skills.

  • Self-motivated with a strong desire to learn new products and technologies.

  • Ability to maintain confidentiality of payroll information and sensitive employee data. 

  • Must be able to effectively prioritize phone calls, in person, and email inquiries while also completing regular tasks.

  • Ability to manage time in regards to agreed upon schedule, abiding by Company Policies for breaks and lunches, ensuring to schedule time away for personal time as needed.

Preferred Experience and Qualifications:

  • Familiarity with multiple payroll systems, with Workday experience specifically preferred. 

  • Certification in Payroll (e.g., APA, CPP)

Pay range (US based applicants): $26.70 - $33.00 (per hour)

Actual compensation packages are based on a wide array of factors unique to each candidate, including but not limited to job-related skills, experience, certifications, relevant education and training, while also considering internal equity.
