FLSA Status: Non-exempt 

Union Status: None 

Job Level: 2 

Department: Administration 

Pay Range: $51,000 – $69,000 

Reports To: Chief Advancement Officer 

Supervisory Responsibilities: None

Position Overview: 

The Project Assistant will be responsible for providing high-level administrative support to the Advancement team at Making Opportunity Count.  

 

Essential Duties & Responsibilities: 

  • Assist in planning and executing numerous projects, ensuring timelines and objectives are met. 
  • Maintain organized project documentation and reports for accessibility and accuracy. 
  • Utilize Microsoft Office Suite (Word, Excel, Teams, Project, Planner, PowerPoint, Outlook) for data management and communication. 
  • Manage and update project-related information using content management systems (such as CMS). 
  • Collaborate with team members to streamline processes and improve efficiency. 
  • Schedule meetings, take minutes, and follow up on action items.  
  • Provide general administrative support, including correspondence and electronic file management.  
  • Coordinate Board of Directors' meetings, including scheduling, distributing materials, preparing agendas, and taking minutes. 
  • Stay informed and trained on new software tools including AI applications to enhance productivity. 
  • Assist in the management of program systems, ensuring accurate data entry and reporting. 
  • Draft letters, memos, invoices, and reports for senior staff.

Required Skills/Abilities/Competencies: 

  • Proven experience as an administrative or project assistant/associate
  • Strong proficiency in Microsoft Office Suite. 
  • Basic experience with AI tools and an understanding of their applications. 
  • Excellent organizational and multitasking skills with attention to detail. 
  • Strong written and verbal communication skills. 
  • Ability to organize data in a presentable format.  
  • Proactive problem-solver with a willingness to learn new technologies.

 

Supervisory Responsibilities/ Key Relationships: 

  • Collaborates closely with members Leadership including Chief Advancement officer and Executive Director.
  • Does not supervise employees.

 

Required Education and Experience: 

  • Associates or Bachelors degree preferred or equivalent related work experience.

Work Hours, Working Styles, and Additional Benefits: 

  • This is a fully remote position, however the candidate may choose to work occasionally form any of our corporate offices in Massachusetts if desired.
  • Hours of work are flexible but must be available during normal business hours.
  • Must be able to sit/stand at a desk for prolonged periods of time.
  • Must be able to occasionally lift up to 15 lbs.

 

Compensation: 

A salary within the range of $51,000 - $69,000 will be provided to the successful candidate having met the minimum requirements for the position consistent with the Making Opportunity Count compensation philosophy. The candidate’s exact placement will be determined based on factors consistent with Making Opportunity Count’s compensation framework. Making Opportunity Count offers a competitive benefits package including
