GROUP TRAVEL PROPOSAL AND OPERATIONS MANAGER

Starting base salary USD$63,000 - $83,000*

The Proposal and Operations Manager (Group Travel) is responsible for conceptualizing, pricing and proposing group incentive travel programs to new and repeat clients. They will use their knowledge of destinations, hotel properties, on-site activities, special events, and unique options to exceed our client’s expectations for a group incentive travel program with their most loyal customers or top performers. They will create the ultimate travel program utilizing strong negotiation skills, creative concepting, superb communication skills and excellent vendor relationships.

 

They work with senior clients, external suppliers and internal teams to ensure successful and timely delivery of quotes, proposals and pitches while continually maintaining a healthy and profitable budget.

 

They will create client letter of agreements in line with hotel contracts, review all outgoing payments, review/approve final close out of programs post trip. They are responsible for maintaining the overall revenue projections, and financial reporting for the total North America travel project portfolio. 

 

They will be responsible for maintaining the travel project pipeline reporting and will be comfortable presenting financial status and updates to the wider business.

 

What you will be doing: 

  • Oversee all incentive program proposals, sourcing, pricing and project closeouts/reconciliation across the Group Travel team with support from the wider team
  • Mentor and train Account and Program Managers to support in proposal development, costing, sourcing, and creation of client agreement
  • Internal brainstorming and concept facilitation: consult with Sales on opportunities to qualify lead, discussions with client on specifications and budget, ideate destinations and program type, refine to most suitable options for formal consideration
  • Develop and price a creative program to meet client criteria
  • Create dynamic presentations and proposals using powerpoint 
  • Liaise with Marketing team to develop appropriate proposal for marketing deliverables as needed
  • Meet delivery deadlines, prepare revisions to proposal and costings and work with suppliers to achieve client objectives 
  • Create Letter of Agreement customized for program specifications and incorporate hotel terms/conditions, or Letter of Intent with required deposit
  • Develop payment schedule according to vendor terms
  • Collaborate with Manager, Air Agents to block airspace when necessary 
  • Maintain external supplier partnerships and key relationships, as well as source and negotiate and contract with vendors (hotels, DMCs,etc).
  • Proof and view vendor contracts for accuracy against original proposal and budget
  • Oversee legal review signature process for all contracts 
  • Monitor program receivables, review and approve program disbursements 
  • Prepare turnover notes for GT team assigned to the program.  Includes nuances/client history, contact information, program details, immediate action items
  • Reconciliation and closeout- oversee finalization of P&L statement and client Final Billing statements. Verify receipt of commissions and refunds due from suppliers
  • Collaborate with other Elevate teams and Senior Manager, Group Travel to support the team strategy for improving engagement levels across the 360 client portfolio
  • Forecast  revenue projections for GIT programs (monthly, quarterly and YoY)
  • Develop, implement, and maintain internal and external training materials and procedures, improving internal processes
  • Travel to conferences, familiarizations trips, site inspections and during programs as required. Attend appropriate industry functions to stay abreast of emerging industry trends, key news and information and legislation

 

What you’ll bring to this role:

  • 4+ years of group incentive travel experience with strong domestic and international destination knowledge
  • Familiarity with hotel and dmc contracts
  • Airline contracting knowledge a plus
  • Cvent familiarity
  • Knowledge of accounting, billing procedures and foreign currencies
  • Ability to see and use creative and innovative methods for resolving problems
  • Proficient in Microsoft Office (PowerPoint, Word, Excel)
  • Ability to work independently, manage multiple projects in a fast-paced, high pressure environment
  • Excellent organizational, written and oral communication skills
