About the Role

The Payroll & Benefits Contractor will play a critical role in managing and administering payroll, employee benefits, and state registration processes across North America. The ideal candidate will have experience with multi-state payroll operations, US employee benefits programs, and be proficient in handling state-specific regulatory compliance. This position ensures that payroll is processed accurately and on time, while also providing support and guidance on benefits enrollment, compliance, and reporting. You may also support HR and Finance Systems. This position is roughly 20 hours per week.

Responsibilities
  • Payroll Administration:
  • Process bi-weekly or semi-monthly payroll for employees across multiple states using Rippling
  • Ensure accurate and timely calculation of wages, bonuses, commissions, and deductions
  • Handle payroll-related inquiries, discrepancies, and issues in a timely and professional manner
  • Stay updated on federal, state, and local payroll tax laws and ensure compliance with all regulations
  • Coordinate with finance for accurate reporting and reconciling payroll data
  • Benefits Management:
  • Administer employee benefits programs, including health, dental, vision, life insurance, 401(k), FSA/HSA, and other ancillary benefits
  • Conduct benefits orientation and educate employees on benefit offerings and enrollment processes
  • Manage annual open enrollment and ongoing benefits enrollments/changes throughout the year
  • Serve as the primary point of contact for benefits providers, handling inquiries and resolving issues
  • Ensure benefits programs are compliant with applicable laws, including ACA, ERISA, COBRA, HIPAA, etc
  • Support the Stock Option Equity administration in Carta
  • Manage employee leave of absence process in tandem with our external partners
  • State Registrations & Compliance:
  • Manage and ensure compliance with state and local registrations and tax filings in all applicable states
  • Keep up to date with new state requirements and ensure timely registration when expanding into new states
  • Maintain accurate records for all state registrations, including unemployment insurance and workers' compensation
  • People Team Support:
  • Assist with audits, including 401(k) and workers' compensation audits
  • Provide payroll and benefits data reports to management as needed
  • Support HR team in other areas, such as leave administration, compensation, and employee relations

  • Requirements
  • Bachelor’s degree in Human Resources, Finance, Business Administration, or related field (preferred)
  • 3-5 years of experience in payroll administration, benefits management, and multi-state compliance
  • Strong knowledge of federal and state payroll laws and regulations.
  • Proficiency with payroll systems (e.g., ADP, Gusto, Paycom) and benefits platforms
  • Experience with US-based benefits administration, including health plans, 401(k), and FSA/HSA
  • Excellent attention to detail and ability to handle sensitive and confidential information
  • Strong communication and problem-solving skills
  • Ability to work in a fast-paced, deadline-driven environment
  • Preferred Skills:
  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus.
  • Experience with state registrations and multi-state payroll compliance.
  • Familiarity with HRIS systems and data reporting.
