We are seeking a Tenant Coordination Administrator who will play a critical role in supporting the Construction Management and Coordination business unit by overseeing project documentation, report tracking, and facilitating communication between stakeholders. This is a remote position with a strong preference for the candidate to be based in Cleveland.  Come make your mark as an integral part of Bridge33 Capital!

ESSENTIAL RESPONSIBILITIES 

  • Serve as a liaison between Tenant Coordinators, contractors, clients, and suppliers to facilitate clear communication and issue resolution.
  • Coordinate meetings and prepare agendas and minutes to ensure all stakeholders are informed and aligned with project objectives.
  • Manage all incoming inquiries related to construction projects.
  • Maintain and organize all Smartsheet information including dates and timelines. 
  • Assist in reviewing and entering all lease contingencies into Smartsheet for tracking. 
  • Assist in reviewing and updating scope, deliverables, deadlines, and cost requirements related to lease contingencies.
  • Track and manage project-related paperwork, ensuring all documentation is up-to-date and easily accessible.
  • Monitor project progress and update schedules, budgets, and work plans as necessary.
  • Assist in tracking project expenses and budgets, flagging discrepancies or potential overages to the project manager.
  • Prepare regular project reports to provide key stakeholders with updates on timelines, costs, and any issues that need addressing.
  • Provide other administrative support to the construction team.

Requirements

QUALIFICATIONS

  • Minimum of 2-3 years of experience in a construction or project administration role.
  • High school diploma or GED required. Associate’s or Bachelor’s degree in Construction Management, Business Administration, or a related field is preferred.
  • Proficiency in Microsoft Office and Google Suite. Experience with project management software and construction-specific software is a plus.
  • Strong ability to manage multiple tasks simultaneously, prioritize workload, and meet deadlines.
  • Excellent verbal and written communication skills, with the ability to communicate effectively with diverse teams.
  • Meticulous attention to detail, especially in handling contracts, permits, and regulatory compliance.
  • Ability to anticipate and resolve issues proactively in a fast-paced environment.
  • Experience with construction contract administration and knowledge of AIA (American Institute of Architects) documents preferred
  • Experience with budgeting, cost tracking, and financial management in construction projects preferred
