Position Description
The Administrative Assistant is a crucial role to the organization and will develop and foster proactive engagement to support the executive leadership team through administrative and operational tasks. Your work will enable Cascale to maximize productivity by simplifying collaboration and connection with one another. The role will partner with leaders to help them achieve their goals and objectives as well as work with the broader team. It will provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.
Duties & Responsibilities
The administrative assistant will support for the following areas:

- Review and prioritize inbound requests to identify items that are critical
- Process and manage inbox including filing, deleting, drafting and sending email responses as appropriate
- Draft – and as directed, send - internal and external correspondence including some of a sensitive or confidential nature
- Manage an active and changing calendar including prioritizing inbound requests to schedule meetings, both in-person and virtual
- Arrange and provide logistical support for ET-priority meetings, virtual and physical (in-region), including ensuring agendas are set and managing any practical needs (e.g. catering, meeting rooms, travel, etc.)
- Make travel arrangements and create detailed travel itineraries, including assisting with submitting expenses per Cascale policies
- Support in tracking and follow-up with Team Lead critical priority projects

- Carry out administrative duties for senior leadership team such as scheduling meetings, taking notes, drafting presentations, filing documents
- Leverage technology platforms to streamline communications and operations for the leadership team
- Schedule meetings + events pertaining to the executive leadership team including coordination and execution of annual team and leadership meetings, both virtual and in person
- Work closely and effectively with the Executive Assistant to keep him/her informed about upcoming commitments and responsibilities pertaining to the leadership team and Board of Directors.
- Coordinate ET calendars to allow for dedicated work time
- Assist in preparing materials for internal or external meetings including Board Meetings, presentations at events or with members, etc
- Support the maintenance of filing systems in google drive to allow the ET to easily find documents
- Leverage technology platforms to streamline communications and operations for the ET
- Develop and maintain relationships with other internal and external assistants to support in the work of the ET
- Board Support as Requested, and directed by Chief of Staff
Qualifications & Experience
The ideal candidate should possess the following qualifications and experience:
- Strong work tenure: 4-5+ years experience in supporting C-Level Executives
- Must be able to speak Mandarin and/or Cantonese
- Strong analytical and problem-solving skills
- Excellent oral, listening, and written communication skills
- Ability to thrive in a fast-paced environment, managing multiple priorities
- Capability to work independently while collaborating with staff
- Keen attention to detail and a high level of accuracy
- Required expertise in computer and business software, including platforms such as Excel, QuickBooks Online, and G Suite and Microsoft Office Suite (Excel, Word, PowerPoint) applications

Reporting Structure
This is a full-time role, reporting directly to the Chief of Staff but will take regular direction from Executive Team members.
Compensation and Location
The Cascale offers a compensation package and salary bands are based on country location and aims to be competitive in each market. Actual compensation will also vary depending on factors including (but not limited to) relevant experience and performance. Salary is just one component of Cascale’s Total Rewards package for employees.
Cascale’s members and partners are global organizations, and as such, our staff sometimes work early or late hours. This position is preferably based in Hong Kong. Please note that you will have to be eligible to live and work in the region specified.
