As the Claims and Warranty Associate, you will manage all administrative functions of Highland Electric Fleet’s OEM warranty programs. In this role, you will facilitate communication between Highland’s Engineering and Maintenance Team and our warranty partners.

You will coordinate team efforts by establishing workflow processes within our maintenance platform, Zuper (Highland’s Enterprise Asset Management system), ensuring data integrity, and maintaining accurate records for reimbursement.

Key responsibilities include developing KPIs, creating standard operating procedures and best practices, building relationships with warranty partners, collecting necessary information from customers for warranty filings, tracking reimbursements, identifying warranty opportunities, and developing a thorough understanding of warranty agreements to support the engineering and maintenance team’s success.

Responsibilities:
  • Develop and maintain strong relationships with warranty partners; understand their requirements for filing warranty claims.
  • Identify warranty opportunities related to Highland assets during work performance.
  • Establish Key Performance Indicators (KPIs), best practices, and standard operating procedures for warranty filing and collection.
  • Serve as a resource for customers, guiding them through warranty opportunities.
  • Provide feedback on process improvement related to warranty operations.
  • Track and input all warranty filings from identification through to payment for each OEM that Highland supplies vehicle for.
  • Ensure warranty partners meet expectations as outlined in agreements with Highland.
  • Contribute to the engineering and maintenance dashboard, ensuring data integrity for accurate CPM modeling.
  • Identify potential warranty claim opportunities when customers submit work orders.
  • Support Engineering and Maintenance Leadership, by generating analysis reports on warranty generation.
  • Manage new CPWA account setups with vendors across all areas.
  • Negotiate better warranty labor pricing and "goodwill" considerations with school bus and parts manufacturers; develop new in-house warranty programs.
  • Conduct warranty training sessions with all technicians
  • Perform warranty audits as needed and report findings to Engineering and Maintenance leadership including actionable recommendations within 90 days.
  • Oversee the Warranty Department, ensuring all warranty repairs are reviewed and processed; manage direct reports (Warranty Administrator and Administrative Assistant).
  • Enforce compliance with the Maintenance Policy & Procedures.
  • Monitor field compliance with warranty claims and recall completion; prepare and submit claims.
  • Conduct field training classes for proper repair order preparation.
  • Perform other duties as assigned by management.

  • 5+ Years in parts warranty in a fleet environment
  • 2 Years of identifying and developing KPIs, best practices, and SOPs
  • Extensive school bus industry experience preferred
  • Must be willing travel when called upon.
