Job description

Tetra Tech International Development is currently accepting expressions of interest from qualified candidates for a Travel Specialist.

Position Description: The Travel Specialist (TS) is a member of the Travel and Security (T&S) unit within the Risk Management Department of Teta Tech. The TS is responsible for ensuring all travel needs of Tetra Tech home office are met and comply with internal policies and procedures, Tetra Tech Duty of Care standards and client rules and regulations (primarily USG / USAID). The TS is Tetra Tech’s primary contact with the company’s Travel Management Company (TMC) and visa service provider and is responsible for contributing to their supervision and performance evaluation. The TS works closely with the Security Manager to ensure all travelers are prepared to prevent and respond to emergencies. The TS supports the Senior Director of Risk Management to set strategic objectives for the T&S department, contributes to weekly team coordination meetings, and monitors progress towards the achievement of annual work plan priorities. The position can be fully remote from a continental US-based location or hybrid within a commutable distance to either one of our office locations in Winooski, VT or Arlington, VA. 

Responsibilities

  • Ensures all travel complies with company policies and procedures and Duty of Care standards as well as applicable client rules and regulations; reviews and remains current on all USAID and USG travel-related regulations and provides guidance on interpretation for staff.
  • In coordination with the Security Manager, conducts staff orientations / training on travel and security policies, procedures and resources; trains global and regional project operations staff to self-manage travel and events.
  • Supports project management teams (PMTs) and travelers with day-to-day travel related questions / needs; supports travel and lodging needs for staff attending home office sponsored events.
  • Ensures the TMC meets Tetra Tech’s needs and expectations including compliance with applicable USG travel regulation; manages visa facilitation service account.
  • Conducts travel research to support complex travel needs and a diverse range of traveler profiles, including airline safety data, and makes recommendations based on current IATA, State Dept., and EU data.
  • Supports emergency response efforts and serves on Emergency Response Team; serves as point of contact with the Medical/Security services and evacuation provider (ISOS) and ensures service delivery meets Tetra Tech’s needs.
  • May serve as a supplemental Family Liaison officer when handling travel arrangements for health and security emergency situations including evacuations.
  • Annually reviews and updates Tetra Tech Travel policies and procedures and helps maintain Tetra Tech Travel & Security Intranet site / SharePoint.
  • Communicates travel policy compliance and associated financial risks to the SDRM and collaborates on solutions; prepares and shares travel reports; assists the accounting team with monthly reconciliation of travel expenses.
  • Contributes to identifying and achieving strategic T&S objectives and to inter-departmental initiatives.
  • Represents Tetra Tech at external travel related events, forums, trainings, etc.

Minimum Qualifications Required

  • Minimum bachelor’s degree in relevant field.
  • Minimum of five (5) years of travel management experience, preferably with an internationally focused organization.
  • Familiarity with USG / USAID travel regulations.
  • Experience preparing travelers to mitigate health and safety risks associated with international travel preferred.
  • Emergency response experience associated with international travel preferred.
  • Customer service oriented, excellent interpersonal and communication skills.
  • Diplomatic, with the ability to exercise proper discretion and judgement.
  • Training and public speaking experience.
  • Ability to organize own work and perform independently in both a remote environment.
  • Ability to work under pressure and meet tight deadlines.
  • Proficiency of MS-Office applications and databases.
  • Current U.S. work authorization is required at the time of application.
