PURPOSE OF POSITION

  

The Implementation Specialist is responsible for onboarding new clients/plans with Definiti from point of sale through first deposit. The Implementation Specialist is the essential and central point of contact for communications and consultations with clients, financial advisors, and recordkeeping partners. In addition to onboarding plans into Definiti systems, the Implementation Specialist also works with different recordkeeping partners to ensure smooth setup and start of plans in their systems. 


PRIMARY DUTIES AND RESPONSIBILITIES

  • Provide excellent customer service to clients and partners
  • Educate Clients about their document provisions and plan operations
  • Set realistic and appropriate expectations regarding the implementation process
  • Acquire and review conversion records necessary for ongoing administrations
  • Coordinate activities and delegate tasks to clients, partners, and internal Definiti teams
  • Effectively communicate detailed responses to client and partners questions regarding the plan
  • Analyze and ensure accuracy of data setup on Definiti systems
  • Prompt and accurate tracking of all onboarding/conversion requirements
  • Stay current with retirement plan industry trends, including impact of regulatory changes
  • Maintain accurate understanding of how our internal processes interact together, at both team and organization levels
Requirements

COMPETENCIES REQUIRED

  • Strong verbal and written communication skills
  • Strong project management and organizational skills
  • Demonstrate ability to manage a high volume of concurrent projects
  • Display keen attention to detail for accurate implementation on Definiti and partner platforms
  • Demonstrate sound judgment when making decisions, and operate with discretion and integrity
  • Ability to assess issues as they arise, maintain composure under pressure, and develop thoughtful and appropriate responses


EDUCATION AND QUALIFICATIONS

  • High School Diploma or GED required
  • Bachelor's degree preferred
  • Two years or more of retirement plan industry experience required
  • Large, complex plan administration experience preferred
  • Experience in high-touch, direct client service
  • Experience with retirement plan implementation or conversion experience preferred
  • Experience with Pension Pro and/or ASC a plus
  • Basic MS skills to include Outlook, Word, and Excel required
  • ASPPA, NIPA or CEBS credentials or equivalents preferred


REMOTE WORKING REQUIREMENTS

  • Be online and available to work during designated business hours in local time zone
  • Accustomed to using Microsoft Teams (or similar virtual-meeting applications) to meet with colleagues regularly on video and use the chat feature for quick communications. We utilize many Microsoft Teams features (such as Channels and file storage) for announcements, relevant conversations, and file sharing. Familiarity with Microsoft Teams is a plus
  • Accustomed with file-storage and file-sharing tools such as Microsoft SharePoint
