Job Description

Primary Function of Position:

The Human Factors Operations Specialist will assist in managing logistics for the HF Operations Team, lab equipment, systems and spaces, and online tracking programs. This role will interface frequently with key stake holders to deliver the high-quality customer engagements.  The HF Operations Specialist works will maintain good relationships with internal and external partners and customers to facilitate the highest quality user experience labs, focus groups, and on-site and off-site events. They are responsible for helping to coordinating events at conferences and other off-site events, recruiting participants to user experience labs and events, coordinating logistics for off-site events, and supporting user research projects.

The Operations Specialist will be trained on servicing Intuitive products and must have technical and administrative problem-solving aptitude, and experience working as part of a team.  They must be able to work autonomously and be proactive and resourceful, with a proven work ethic. The Operations Specialist will have a passion and inclination for organization and structure while maintaining the flexibility required for an expanding team.

Position Responsibilities:

  • Assist in managing the Human Factors lab and other associated labs (consisting of Intuitive products and synthetic dry models in a simulated procedure room) in both domestic and potential international locations
    • Coordinate and perform system and product transportation and set-up
    • Maintain inventory of equipment, including systems, instruments and accessories, and third-party equipment; Facilitate shipment and installs of equipment at domestic and international lab spaces
    • Train teams on safe and proper use of equipment in lab
    • Clean and sterilize instrumentation as needed
    • Maintain laboratory records and tracking systems
    • Perform and/or coordinate maintenance activities for lab equipment, including, but not limited to; system troubleshooting, inspections, preventive maintenance, software updates, and upgrades of Intuitive products, and troubleshooting of video equipment and other 3rd party lab equipment.
  • Develop product and servicing expertise in the following technologies:
    • Ion® and da Vinci® Technology
  • Work within the Human Factors Team in a creative, dependable, and flexible manner to facilitate new and improve customer engagement events
    • Assist with coordination of space and system allocation for studies and lab assignments
    • Work as a liaison between Tangerine Travel and Intuitive
    • Review alternative cost savings logistics solutions
    • Assist in managing contracts, payments, vendor onboarding and procurement needs
    • Assist in managing the HF team system and lab calendar
    • Assist in procuring materials and catering
    • Routinely finds ways to reduce cost and improve efficiencies
    • Keep team informed of  study planning status
    • Manage day-to-day relationships
  • Support Intuitive teams as required to facilitate company priorities
  • Demonstrate personal characteristics expected of Intuitive personnel (e.g., Character, capacity, energy, experience)
  • Creates and manages relationships with hospital executive and support staff, surgeons, and internal sales and marketing teams
  • Facilitates external research and events, including coordinating, collaborating and executing logistics
  • Recruits participants for internal user experience labs and all external events, conferences and focus groups

Qualifications

Skills/Job Requirements:

  • Proven administrative and organizational skills
  • Minimum BA/BS
  • Minimum 5-7 years experience in project coordinator, lab technician, or comparable roles
  • Must be able to lift 50 lbs
  • Experience in medical device, hospital setting, or similar regulated industry
  • Ability to interface with customers in a highly professional manner
  • Ability to work with and across various cross functional groups and all levels of management within the organization; including, but not limited to, engineering groups, marketing, clinical engineering, and regulatory.
  • Excellent collaboration skills and ability to escalate issues as needed
  • Ability to handle Operations issues in an ever-changing environment with a customer-focused attitude
