About This Role:
  • The Administrative Assistant, Jr. will assist the VHA National Neurology Program Office by providing administrative support to ensure the efficient operation of the office. The individual will handle a variety of tasks including preparing reports, coordinating meetings, and maintaining program documentation. The position requires proficiency in office software and attention to detail when working with technical and specialized terminology.
Responsibilities:
  • Report Preparation: Assist in preparing reports, documents, and correspondence as required by the program office.
  • Program Documentation: Maintain and update program documentation including files, meeting notes, and other records.
  • Graphics and Presentations: Prepare and design basic graphic presentations for internal and external stakeholders.
  • Meeting/Conference Coordination: Plan, coordinate, and organize meetings and conferences, including scheduling, preparing agendas, and distributing meeting materials.
  • Data Entry: Perform accurate data entry to support program tracking and documentation.
  • Proofreading and Editing: Apply knowledge of technical and specialized terminology to proofread and edit program-related documents.
  • Office Support: Assist with filing, reproduction of documents, and general office administration tasks as needed.

  • Administrative Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software for reporting, data entry, and document creation.
  • Attention to Detail: Strong proofreading and editing skills with a focus on technical accuracy.
  • Organizational Skills: Ability to manage multiple tasks, coordinate schedules, and meet deadlines in a fast-paced environment.
  • Communication: Strong written and verbal communication skills, particularly in a professional setting.
  • Team Collaboration: Ability to work effectively within a team and maintain a professional demeanor with internal and external stakeholders.
  • Familiarity with Terminology: Knowledge of or the ability to learn specialized medical or technical terminology used in the neurology field.
