Role Overview

As the Executive Assistant, you'll provide high-level executive and administrative support to the Chief Executive Officer (CEO) and the Executive Team. Your role will involve managing information requests, drafting correspondence and presentations, coordinating meetings, and supporting the CEO's daily activities. This position combines both in-office and remote work, with flexibility in office presence based on the needs of the role.

Key Responsibilities

  • Provide executive support to the CEO by managing information requests, drafting communications, and coordinating meetings.
  • Oversee the CEO's calendar, travel arrangements, and expense reports.
  • Assist the Executive Team with scheduling, travel, and other administrative tasks.
  • Prepare for and support site visits, meetings, and events with stakeholders.
  • Manage logistics and documentation for Board of Directors meetings, including agendas and reports.
  • Coordinate and plan virtual and in-person staff meetings.
  • Handle phone calls and take minutes at key meetings.

Qualifications

  • BA Degree preferred, with a minimum of 3 years of experience supporting C-suite executives.
  • Experience with non-profit or youth-serving organizations is a plus.
  • Strong initiative and accountability for quality work.
  • Excellent time management skills and ability to handle multiple priorities.
  • Strong communication skills, both oral and written.
  • Detail-oriented with the ability to work under pressure.
  • Proactive, friendly, and flexible demeanor.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Availability for occasional evening and weekend work, and some travel.
  • Valid CA driver's license, personal vehicle, and auto insurance.

Additional Information

  • Compensation: \(39.23 - \)42.69 per hour.
  • Local candidates preferred; relocation assistance is not available.
  • We are unable to sponsor work visas now or in the future.
