Description

Are you passionate about making a difference and supporting top-level executives? We're seeking an Executive Assistant to join our dynamic team and help drive impactful results. If you're dedicated to providing exceptional support and thrive in a fast-paced environment, we'd love to hear from you!

In this role, you'll play a crucial part in managing daily operations and providing high-level administrative support. You'll engage regularly with executive leadership and various stakeholders to ensure smooth and efficient operations. This is a remote position, and the ideal candidate must be based in the Atlanta, Georgia area.

Key Responsibilities

  • Calendar Management: Coordinate and manage calendars, schedule meetings (physical, telephonic, or video), and handle communication, material preparation, and follow-up.
  • Event Coordination: Oversee key corporate events such as Board meetings, investor relations, and Quarterly Business Reviews. Handle logistics and arrangements for domestic and international travel, including materials, facilities, and transportation.
  • Communication Liaison: Serve as a direct link between executives, their teams, and other employees. Manage various inquiries from employees, board members, and outside investors.
  • Expense Management: Compile receipts, reconcile credit card statements, and prepare expense reports.
  • Event Planning: Organize and manage events both within and outside the office, including invitations, speakers, catering, entertainment, hotel accommodations, and transportation.
  • Relationship Building: Develop and maintain strong relationships with company leaders, executive assistants, contractors, suppliers, and vendors.
  • Team Support: Provide support and coverage to other members of the Executive Admin team as needed.
  • Representation: Act on behalf of senior executives via phone and email with professionalism and grace.
  • Document Preparation: Assist with preparing and editing quarterly Board of Director and Audit Committee materials.
  • Email Management: Monitor and manage email accounts, respond on behalf of others when appropriate, and keep contact lists updated.

Required Skills & Qualifications

  • Bachelor's degree or 3+ years of relevant experience in executive support.
  • Exceptional attention to detail, professionalism, and the ability to manage multiple priorities independently.
  • Strong capacity for handling sensitive and confidential information.
  • Agile and flexible in a changing environment with shifting priorities.
  • Proactive in anticipating executive needs and providing exceptional service.
  • Ability to work independently and collaboratively in a remote setting.
  • Experience with calendar management and travel arrangements.
  • Professional demeanor with the ability to handle pressure with grace and humor.
  • Self-starter with a keen eye for spotting and seizing opportunities.
  • Proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).

Preferred Skills & Qualifications

  • Previous experience in Coordinator or Project Coordination roles.
  • Project management skills including organization, planning, and execution.
  • Experience with contact management software is desirable but not required.
