Your Role

As the Executive Assistant/Office Administrator, you will be the proactive right-hand to the CEO – New Zealand, providing top-tier executive support while keeping the Auckland office running smoothly. You’ll be the go-to person for the NZ leadership team, taking initiative to manage office operations and facility coordination. With your exceptional communication skills and experience, you’ll handle high-level tasks with ease, ensuring everything runs seamlessly behind the scenes, allowing the leadership team to focus on driving the business forward. This role is a full-time position for a maternity leave cover of 12-months. Preference is 4 days in the office and 1 day work from home.

  • Provide executive support to the CEO – New Zealand
  • Offer administrative support to the Auckland-based NZ leadership team
  • Manage office and facility operations
  • Coordinate meetings, workshops, events, and travel logistics
  • Act as the first point of contact for team members, visitors, and customers
  • Oversee office equipment, supplies, and vendor relationships
  • Handle communications, correspondence, and corporate travel system support

About You

  • Proven experience in a busy corporate environment providing proactive, high level support to multiple leaders
  • Excellent administration skills with proven high-level attention to detail and competent MS Office package skills (Word, PowerPoint, Excel).
  • SharePoint & SAP Concur experience (desirable, but not essential)
  • Ability to work autonomously within a sociable team environment
  • Highly developed organisational and interpersonal skills, proactive work ethic, resilience and sense of humour
  • Proven ability to confidently manage demands and expectations from a vast range of internal and external stakeholders
  • Experience in dealing with confidential information and demonstrated capacity to maintain confidentiality and professional standards of behaviour in difficult and sensitive circumstances.
  • Excellent time management skills including working to deadlines, always attending to detail.
