Job Title: Project Assistant

Grade: 16

Salary: $59,228 - $62,000

The Research Foundation for Mental Hygiene is seeking qualified candidates to fill a full-time Project Assistant position. The Center of Practice Innovations (CPI) develops online training modules to educate learners across New York State in evidence-based behavioral health practices. CPI is looking for a project assistant to join our e-learning module development team.

Reporting to the project manager, the project assistant will support the planning and creation of these courses. The ideal candidate will thrive in a collaborative team setting and communicate effectively with all levels of management. The successful candidate will demonstrate strong computer skills, specifically with Microsoft Office (Outlook, Word, Excel, PowerPoint) in day-to-day tasks or demonstrated experience in using these tools in previous roles, such as creating reports, presentations, and spreadsheets. This position can be fully remote or hybrid.

Duties And Responsibilities

Duties and Responsibilities include:

  • Apply instructional design theories and practice to provide effective e-learning solutions.
  • Knowledge of e-learning platforms, course design software, and project management tools.
  • Ability to manage multiple projects simultaneously and meet deadlines.
  • Contribute to module development: participate in review cycles, coordinate feedback from stakeholders, assist with video shoots, manage CPI's video and photography libraries, conduct usability testing, keep track of continuing education applications about project timelines, and troubleshoot as needed
  • Aid in billing procedures: prepare contracts, amendments, forms, and other specialized documents; submit invoices, complete templates, proofread materials for accuracy, and ensure follow-up for completeness
  • Coordinate and participate in meetings: schedule meetings, communicate details to participants, and take comprehensive notes.
  • Assist with administrative tasks: manage projects and timelines, update reports and documentation, and help enhance administrative processes and tools
  • Perform other related duties as required

Minimum Qualifications

  • Bachelor's degree in a related field and;
  • At least one year experience as a to e-learning project assistant or similar role;
  • Personal lived and living experience of mental health and/or substance recovery can substitute for education and/or work experience

Preferred Qualifications

  • At least two years managing administrative tasks or events, such as coordinating team meetings or maintaining project documentation
  • Two years or more of successfully completing projects involving cross-functional teams or external vendors, with documented outcomes
