Role Purpose:  

This role will support the administration of lean transactional payroll operations and for ensuring payroll operations are run efficiently across the hub, its compliance, efficiency, and accuracy. This role supports the outsourced HR functions (onboarding, off-boarding, employee life cycle management as well as pre-pay-roll preparation and external payroll) and provides administrative support to resolve issues around these outsourced activities. 

This role includes ensuring the continuous accuracy of payroll master data, employee records and monthly staff payroll by maintaining relevant records across the hub.  

This role will support the Hub Payroll consultant to review and deliver payroll operational and administrative service, ensuring excellent implementation in the deployment of payroll operational process and procedures. The role requires a systematic, integrated approach with a focus on continuous improvement. 

 
Administrative duties 

  • Perform administrative duties related to onboarding and off-boarding (new hires and terminations).  

  • Maintain HR records, including personnel files and other employee documents such as remote working records and Employee Capital Plans (Pracownicze Plany Kapitałowe) 

  • Prepare HR documents such as contracts, medical referrals, and employment certificates. 

  • Develop good working relationships with HR shared services and key stakeholders 

  • Support the collaborative efforts with the People Function to ensure a seamless employee experience. 

 
Payroll duties 

  • Assist with monthly review employee data to inform payroll runs and escalate any issues to the Line Manager. 

  • Provide input for payroll processing for British Council 

  • Assist with the rigorous filing of all payroll related documentations.  

  • Verifying the reports generated by external payroll company and carrying out accuracy checks 

  • Prepare all journals and accruals related to payroll in the countries allocated to this role. 

  • Follow up with salary payments and contributions to statutory bodies (pension, social security particularly). 

  • Handle payroll-related queries from staff, liaising with vendors and internal stakeholders, and managing queries in collaboration with HR shared services 
     

Other administrative duties 

  • Ensure timely processing of Purchase Request (PR) and Purchase Orders (PO) for HR related vendor payments i.e. medical insurance, medical claims, payroll vendor fees, etc. 

  • Coordinate medical schemes and benefit systems. 

  • Coordinate working time module in SAP. 

  • Support audits when required. 
     

Role-Specific Knowledge and Experience: 
Minimum/Essential:  

•    Working experience in HR. 
•    Strong systems knowledge (Excel, Word, PowerPoint). 
Desirable: 
•    Knowledge and experience working with HRIS systems. 
 

Language Requirements: 
•    English language skills to the CEF B2 level. 
•    Polish language skills to the CEF C1 level.

Pay Band – Local Pay Band H 
Salary – from 6 150 to 7 225 PLN gross (depending on experience and qualifications) 
Contract Type – 3-month probationary period followed by two-years fixed term contract with a possibility of extension 
Job type – Full-time
