Description

Are you ready to play a key role in supporting the future of pediatric healthcare and genomic medicine? We're looking for an experienced Administrative Leader to provide high-level support to the Divisions of Behavioral and Developmental Pediatrics and Genomic Medicine. This position will ensure smooth and efficient operations by providing critical administrative, research, and academic coordination to faculty, physicians, and leadership.

What You’ll Do

You will manage daily tasks for a team of 11 faculty members and their chiefs, ensuring that clinical, research, and academic responsibilities are seamlessly coordinated. Your role will involve:

  • Organizing patient care needs and compiling division statistics.
  • Maintaining important research and academic information.
  • Managing our Human Genomic Seminar Series (HGSS), collaborating closely with leadership and faculty.

With your strong organizational skills, you'll help ensure division goals are met by overseeing faculty coordination, purchasing, and academic matters. You'll work independently and as part of a dynamic team, responding flexibly to ever-changing priorities. Your ability to effectively communicate, both verbally and in writing, and to make sound decisions under minimal supervision will make you a critical part of our team's success.

Key Responsibilities

  • Division Management (85%): Oversee all areas of division functions, from faculty support to academic and clinical coordination.
  • Genomic Seminar (10%): Lead coordination efforts for our Human Genomic Seminar Series, ensuring all logistics run smoothly.
  • Other Duties (5%): Provide additional administrative support as needed to ensure goals are met.

What You Bring

  • A high school diploma or equivalent experience.
  • Proven experience providing executive-level administrative support, including complex scheduling, travel arrangements, and coordination of logistics.
  • Strong skills in financial transactions and reconciliations.
  • The ability to research, extract, compile, and summarize information from various sources to create clear and concise reports.
  • Proficiency with computer programs (e.g., word processing, spreadsheets, databases) and a willingness to learn new software as needed.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines.
  • Excellent editing and writing skills to draft, proofread, and format professional business documents.
  • Analytical skills to identify problems and suggest alternative solutions.
  • Knowledge of policies and procedures, with the ability to interpret and apply them.

Preferred Skills

  • Familiarity with DaFIS/Kauli, MedHub, MyInfoVault, and AggieTravel.
  • Experience with Electronic Medical Record systems (e.g., EPIC).
  • Ability to work independently, use good judgment, and manage pressure effectively.
  • Knowledge of medical terminology and relevant industry standards.

Physical and Mental Demands
