Job Title: Project Manager - Systems & Operations

Organization: Tilt Collective (formerly Plantworks)

Location: Remote, East Coast USA

Reports to: Chief of Staff

Job Type: Full-time, Exempt


Position Overview

This role is focused on managing and enhancing the implementation of various systems to optimize organizational efficiency. The Project Manager – Systems & Operations will also be responsible for ongoing staff training to ensure effective system utilization.

Key Responsibilities

Systems Implementation and Management

  • Research and identify systems that may benefit the organization and present a business rationale to the Leadership Team.
  • Lead the implementation and integration of Grant Management and Project Management systems that are approved by the Leadership Team. (Fluxx / Monday.com / Slack)
  • Oversee system upgrades and maintenance to ensure optimal performance and efficiency.
  • Monitor system performance and user satisfaction, implementing improvements as needed.
  • Generate regular reports on system usage, efficiency, and project status for senior management.
  • Ensure that all systems comply with relevant data protection regulations and security protocols.
  • Implement and maintain security measures to protect organizational data.
  • Identify opportunities for process improvement and system enhancements to streamline operations and increase productivity.
  • Develop and implement strategies to improve system workflows and user experience.

Staff Training and Support

  • Design and deliver comprehensive training programs to upskill staff on system usage and best practices.
  • Provide ongoing support and troubleshooting to ensure staff can effectively utilize systems.

Project Management

  • Plan, execute, and oversee system-related projects, ensuring they are completed on time and within budget.
  • Coordinate with cross-functional teams to ensure smooth project execution and system integration.
  • Develop detailed project plans, including scope, timelines, resource allocation, and risk management.
  • Monitor project progress, track key milestones, and adjust plans as necessary to meet project objectives.
  • Conduct post-implementation reviews to assess project success and identify areas for improvement.

Stakeholder Collaboration

  • Work closely with internal stakeholders to understand their needs and translate them into effective system solutions.
  • Liaise with external vendors and consultants to manage system implementations and enhancements.

Qualifications

  • Proven experience in systems management, project management, or a related field, preferably within a nonprofit or NGO.
  • Strong knowledge of project management tools (Monday.com, Slack etc).
  • Experience with Grant Management systems highly advantageous (Fluxx etc.)
  • Excellent project management skills, with a track record of successfully leading system implementation projects.
  • Proficiency in training and upskilling staff on system usage.
  • Strong analytical, problem-solving, and communication skills.
  • Ability to work collaboratively with cross-functional teams and stakeholders.

Salary

The salary for the role will be in the range USD 80,000 – 110,000 for US staff subject to location. International (ex United States) salaries will be benchmarked according to location. The final agreed salary within the stipulated range will be subject to location and experience.

  • Employees will also receive 13 paid holidays throughout the calendar year.
  • Employees are eligible for 12 weeks of paid family and medical leave after 90 days of employment.
