What We're Looking For

We are on the lookout for a Senior Manager of Meetings and Field Events to oversee and execute group assignments from Marketing and Sales. This role is essential in planning and managing events across the company, handling contractual agreements, and ensuring the successful execution of large-scale events and trade shows. Your responsibilities will include managing event logistics, coordinating with vendors, and overseeing inventory and fulfillment of event materials. Your presence at major and key regional events will be crucial to evaluating the success of our events program while supporting our company's goals, values, and mission.

Position Summary

  • Lead Event Planning: Strategize and manage all aspects of events, including logistics, vendor coordination, and on-site execution.
  • Asset Management: Oversee in-house assets such as giveaways and booths, and manage the company store while coordinating shipping and returns of event materials.
  • Sales Strategy: Develop and implement strategies to achieve revenue goals and build strong client relationships.
  • Collaborate Across Teams: Work closely with Marketing, Sales, and Operations to expand and execute the event schedule.
  • Analyze Performance: Review post-event data to provide insights and recommendations for improving future events and increasing ROI.
  • Budget Management: Handle event budgets to ensure profitability and cost efficiency.
  • On-Site Management: Attend regional events to ensure smooth delivery and execution of arrangements.
  • Responsive Service: Address requests promptly and follow up to ensure client satisfaction.
  • Stay Current: Keep up with industry trends and provide valuable insights to senior management.

Essential Functions

  • Client Relations: Maintain strong relationships and ensure event specifications are communicated and met for a successful attendee experience.
  • Contract Management: Review and manage meeting space contracts, making adjustments for sponsorships and other benefits as needed.
  • Forecasting: Accurately predict group room and food and beverage revenues, with minimal variance.
  • Room and Suite Management: Oversee room blocks and special concessions, ensuring alignment with contract terms, and participate in site visits.

Qualifications

  • Education: Bachelor's degree in Marketing or a related field.
  • Experience: 3-5 years in event management with a proven track record of meeting targets.
  • Skills: Strong team management, proficiency with tools such as Asana, Salesforce, and Excel. Detail-oriented with excellent communication and interpersonal skills.
  • Additional Skills: Experience in catering sales or vendor relationships for local printing projects is a plus.
