The Role
Financial Operations Coordinators (FOCs) primarily assist our tax professionals with the smooth and timely preparation and filing of tax returns for the firm’s clients. FOCs gather and organize financial data, ensure the accuracy and completeness of documentation, input data into tax preparation and filing software, and provide ongoing technical and administrative support to all departments within the Company through a variety of tasks or projects. They liaise with clients, vendors, and tax agencies to obtain necessary information, address inquiries related to tax filings, and remit, facilitate, and coordinate financial payments.

Responsibilities and Duties

  • Complete work in person at our Dallas office at 3-4 days per week (hybrid work arrangement)
  • Collate, assemble, proof, process, file, and track tax returns electronically and/or by mail
  • Communicate with clients, vendors, tax agencies, and other employees by mail, email, and phone
  • Create, track, and manage engagement letters, ensuring accuracy and compliance
  • Oversee and coordinate the receipt and remittance of financial payments related to Company services rendered or received
  • Manage and maintain the inflow, outflow, and retention of company and client information with clients and other departments within the Company
  • Assist tax professionals with questions or issues on filings, notices, reporting, etc.
  • Understand the significance of key dates and deadlines and how they affect the processing and filing of tax returns
  • Collaborate with other Company departments to complete projects and tasks
Qualifications

Requirements and Qualifications

  • Undergraduate degree preferred; High School Diploma required
  • 2+ years of support, office, or administrative experience
  • 2+ years of support, office, or administrative experience in a professional services firm preferred
  • Knowledge of Records and Tax Processing operations and procedures preferred
  • Expertise utilizing relevant software and tools for collections, engagement letters, and accounting reconciliations preferred
  • Strong ability to effectively recognize and manage interpersonal communication needs
  • Meets or exceeds expectations on process turnaround for assigned tasks and follow-ups and issue resolution to closure
  • Proficient in Microsoft Office applications
  • Excellent written and verbal communication skills while maintaining confidentiality of highly sensitive material
  • Proven customer service, organizational, and problem-solving skills
  • Professionalism, dependability, integrity, and trustworthiness combined with a cooperative attitude
  • Initiative to seek out opportunities and adapt to a fast-paced environment
  • Ability to self-manage workload responsibilities and meet assigned deadlines
