Position Overview:

We are seeking a detail-oriented and proactive Legal Assistant to support our legal team in various administrative and litigation-related tasks. The ideal candidate will have experience in legal support roles, be familiar with legal software and virtual communication tools, and possess strong organizational skills. This role involves managing schedules, preparing litigation documents, organizing discovery materials, and maintaining confidentiality in all aspects of work.

Key Responsibilities:

  • Administrative Support: Manage schedules, process invoices, and prepare litigation-related reports as requested.
  • Billing and Timekeeping: Assist attorneys, support staff, and administration with billing, timekeeping, and expense tracking tasks to ensure accurate fee and expense records.
  • Document Preparation: Assist in preparing, drafting, and revising litigation-related documents such as pleadings, motions, discovery requests, affidavits, and court briefs, ensuring accuracy and adherence to legal standards.
  • Virtual Meetings: Schedule and arrange virtual meetings using video conferencing tools, prepare meeting agendas, manage logistics, and take detailed minutes.
  • Filing and Document Management: Maintain electronic filing systems by organizing and filing litigation documents, including case files, court submissions, and discovery materials.
  • Template Management: Maintain and update templates for frequently used litigation documents and forms.
  • Discovery Management: Assist in managing the discovery process, including organizing discovery materials as requested.
  • Technology Troubleshooting: Assist with troubleshooting technical issues related to virtual platforms and ensure the smooth operation of office technology.
  • Compliance and Ethics: Ensure all tasks and activities comply with legal ethics, professional standards, and firm policies.
  • Confidentiality: Maintain strict confidentiality of all client and case information, adhering to privacy and security protocols specific to litigation.
  • Team Collaboration: Work well both independently and as part of a team, thriving in a fast-paced environment.
  • Culture and Values: Set an example by living the core values of the firm in day-to-day operations, contributing to firm goals, and proactively handling internal matters.

Qualifications:

  • Language Skills: Proficient in English with strong communication skills.
  • Experience: Previous experience in a legal support role or similar roles (Executive assistant, virtual assistant)
  • Technical Skills: Proficient in legal software, document management systems, and virtual communication tools.
  • Attributes: Strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

Nice-to-Haves:

  • Experience in a remote work setting.
  • Experience as legal assistant (litigation)
  • Familiarity with the latest legal technology and software tools.
