Position Overview:

We are seeking a diligent and tech-savvy Operations/Engagement Coordinator to support the execution of virtual meetings and manage related data and communications. This role is crucial for ensuring accurate record-keeping, effective communication with stakeholders, and smooth data integration across platforms. The ideal candidate will be detail-oriented, possess strong organizational skills, and be comfortable with data management and digital tools.

Key Responsibilities:

Meeting and Data Management:

  • Upload call files, including attendance records, edited chat transcripts, poll results, and recordings to Microsoft Teams and the company website.
  • Complete and maintain an engagement spreadsheet to track key metrics and participation data.

Recording and Content Management:

  • Review meeting recordings to identify necessary edits and timestamps; perform editing tasks as needed.
  • Compose and update web portal content, including last/next meeting information, recording links, and resources.

Communication:

  • Coordinate meeting logistics with customers via email, and schedule calls for consultants/team members with clients.
  • Send out meeting update emails and working group call invitations.

Salesforce and Membership Management:

  • Log council attendance in Salesforce using automated processes, ensuring accuracy and completeness.
  • Update Account Membership Details in Salesforce, aligning Account Expiration with Contract Expiration and ensuring Membership Types are accurate.
  • Compare attendance lists to distribution lists (DLs) and identify individuals not currently in Salesforce; add these individuals to Salesforce and notify relevant team members for further action.
  • Update monthly DLs by removing expired members and adding new members, based on information provided by the sales team.

Qualifications:

  • Language Skills: Strong written and verbal communication skills in English.
  • Experience: Prior experience in data management, event coordination, or stakeholder engagement.
  • Technical Skills: Proficiency with Microsoft Teams, Salesforce, and other data management tools; experience with video editing and content management is a plus.
  • Attributes: Strong attention to detail, excellent organizational skills, and the ability to manage multiple tasks simultaneously and meet deadlines.

Nice-to-Haves:

  • Familiarity with Salesforce automation processes and membership management.
  • Experience with video editing software like Vimeo.
