Job Description

Purpose of the Team: The purpose of this team is to handle all of the automated email communications, such as promotional and transactional emails, etc.

Key projects: This role will contribute in handling emails for Microsoft store, Microsoft 365, Xbox Game pass, and other consumer subscription product, and more.

Typical task breakdown and operating rhythm: The role will consist of 20% meetings, 20% managing tickets through Azure Devops, 60% email communications and documentations.

We are seeking a driven, innovative, and experienced Transactional Email Program Manager with a technical background. Our Microsoft Store marketing team is responsible for running the Transactional Email Program where we deliver millions of automated emails to Microsoft customers around the globe - from automated purchase receipts, abandoned shopping cart, and shipping notification emails that we deliver to those that shop at Microsoft.com to subscription renewal reminder emails for our key consumer subscriptions: Microsoft 365, Game Pass, and Copilot Pro. Additionally, our team delivers one-time transactional emails to let customers know when products are back in stock.

Tasks for this role include conducting intake for requests, sizing level of effort, documenting email scenarios, working with stakeholders and developers to ensure our global emails are compliant with market level consumer protection laws, and making recommendations to improve the customer experience. This vendor role will be working closely with an existing vendor on a CRM team.

Our ideal candidate will have facility with working with both marketing/business stakeholders and technical stakeholders. This role is a full-time vendor role to join an FTE and existing Program Manager vendor to support the needs of this growing program.

Job Responsibilities

Support the CRM Transactional Program by overseeing and coordinating transactional email projects from inception to delivery by documenting the technical requirements

Work closely with partners and stakeholders to ensure seamless communication and project execution

Manage execution of one time Email Me When Available and Make Good projects

Support the Email Me When Available and Make Good program evolution by partnering with stakeholders, helping to identify optimization opportunities, and documentation changes

Partner with CRM and engineering stakeholders to address email sign-up issues, ensure compliance, accuracy of documentation, and to facilitate clear communication between the teams for data flow accuracy

Review and optimize transactional email content for clarity and accuracy to create the best customer experience

Create comprehensive records of email content and logic, along with best practices and guidance for stakeholders.

Produce a monthly project request status report email to stakeholders

Proactively identify and address email-related issues to optimize performance

Write parameter overrides to review the dynamic email content for different products (training provided).

Miscellaneous projects as appropriate.

Tools & Skills

General marketing experience: 8+ years

CRM/email experience: 5+ years

Strong familiarity with transactional email and CAN-SPAM Act guidelines

Ability to communicate clearly and concisely, both orally and in writing, with numerous stakeholders

Ability to balance multiple priorities and meet deadlines

Ability to work in a fast-paced environment and adapt to change

Familiarity with email processes in large companies like Microsoft, Amazon, Expedia, etc.

Proficiency in Microsoft Excel, Word, PowerPoint, Outlook, and SharePoint

Experience in Azure Dev Ops for project workflow is a plus

Knowledge and use of Microsoft products

Ability to assess business priorities effectively

Embraces continuous learning and development to adapt to an evolving program and best practices

Familiarity of SQL relational tables

Coding experience: Possess a basic understanding of HTML, CSS, JSON, C# (.NET) to make email updates
