Location: Remote (US based only)

Hours: Part Time, 30 hours per week, flexible schedule during business hours (8am-6pm EST)

The Role:

We are seeking a highly motivated, proactive and versatile Operations Associate to work directly with the CEO and Operations Director. In this pivotal role, you will contribute to our business operations across multiple areas including administration, compliance, HR, sales, digital marketing and client services. You will help create workflows and processes to enhance operational efficiency and bring fresh perspectives and ideas.

You must be an early adopter of technology and get excited to discover new apps and software

Key Responsibilities:

Administrative

  • Document management and record retention
  • General administrative support to the CEO
  • Develop efficient processes
  • Manage CRM database (HubSpot)
  • Meeting coordination
  • Presentation creation
  • Coordinate travel
  • Create and update policy and procedures
  • Special projects as needed

Compliance

  • State registrations and reporting as required
  • Annual report filing
  • 401k administrative coordination
  • Manage insurance and other compliance documentation

HR

  • Employee onboarding/offboarding
  • Coordinate employee gifts and celebrations
  • Assist with employee engagement
  • General administrative assistance

Sales & Client Services

  • Create and maintain proposals, engagement letters, price agreements
  • Client administrative onboarding (invoicing, ShareFile set up, HubSpot)
  • Update and manage various client and sales reporting
  • Shepard prospects and client renewals through the sales pipeline

Marketing

  • Assist with marketing activities
  • Development of marketing content
  • Website updates & blog posting
  • Social Media post creation
  • Newsletter creation and distribution

Financial

  • Bookkeeping
  • Bill pay and expense management

Technical Support

  • Tech subscription management
  • Team “go to” for administrative application issues and troubleshooting
  • Liaison to Juna’s IT management company
  • Assist with information security management

Accounting Team Support

  • Assist with monthly financial statement downloading
  • Document management and organization

REQUIRED:

  • Associate degree
  • 5+ years of experience
  • Excellent verbal and written communication skills
  • Tech Savvy - a must!
  • Experience with: MS Office, Excel, Slack, Google Workspace, QuickBooks Online, ShareFile or other cloud-based document retention system, Asana or other project management software, and using software integrations to enhance efficiency
