We are seeking a seasoned Administrative Assistant with a strong background in writing Standard Operating Procedures (SOPs) and training manuals. The ideal candidate will be detail-oriented, independent, and proactive. As our Virtual Assistant, some of your responsibilities will include:

  • Write and organize Standard Operating Procedures (SOPs)
  • Manage inbox and email communication
  • Assist with task management using Basecamp and Todoist
  • Provide support to team members in various administrative tasks
  • Work with internal communication tools
  • Help maintain and update internal systems and records
  • Review statistical data and provide insights
  • Collaborate with different departments and team members to follow up on pending tasks and projects
  • Research and provide detail-oriented analysis on a wide range of topics
  • Create and teach learning aids, flowcharts, and tutorials
  • Cross-training in different departments as needed

In addition to the above, the ideal candidate must be/have:

  • Excellent writing skills, both verbal and written
  • Detail-oriented, highly organized, methodical, and adept at taking notes
  • Proactive, able to work independently, and excels in a results-driven environment
  • Friendly, positive, calm demeanor; caring and supportive
  • Customer-Centric mindset
  • Efficient typing skills and ability to do data-entry and analysis
  • Strong work ethic and able to work asynchronously with team members
  • Effective communicator who is proactive about following up and managing tasks
  • Ability to easily organize and prioritize tasks based on urgency
  • Takes responsibility for actions and communicates when support is needed
  • Effective problem-solver open to trying new processes or tools as needed
  • Tech-savvy and quick to pick up new tools and software
  • Focused, determined, process-oriented, structured, reliable, and goal-oriented.
  • Past experience with eCommerce is a plus!

  • Zendesk
  • Basecamp
  • Todoist
  • Trainual.com

Position Details:

  • This is a 1099 contractor position
  • Benefits include PTO (after 3 months), Paid Holidays, and Holiday Bonus Pay
  • The position will be 30-40 hours
  • Work hours are Monday to Friday, between 9 AM - 5 PM EST
  • The pay rate is $23/r. USD
  • You must reside in the United States
  • Must be able to pass a background check
  • Were looking for someone to become a long-term (3+ years) team member
