Position Overview:

We are seeking a proactive and detail-oriented Executive Assistant to support our executive team in a dynamic and fast-paced environment. This role requires a highly organized individual with strong communication skills who can manage multiple priorities effectively. The ideal candidate will be fluent in English and Spanish, possess leadership potential, and have experience in administrative support. This position is crucial for ensuring smooth operations and high-level customer care, requiring someone with high emotional intelligence and the ability to work with a diverse team.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the executive team, including calendar management, travel arrangements, and meeting coordination.
  • Communication: Serve as a key point of contact between the executive team and internal/external stakeholders, managing communications and ensuring follow-up on action items.
  • Project Coordination: Assist in the planning and execution of projects, coordinating tasks, resources, and timelines.
  • Problem-Solving: Identify and address operational issues proactively, providing solutions to improve efficiency and effectiveness.
  • Documentation: Prepare reports, presentations, and other documents as required, ensuring accuracy and attention to detail.
  • Team Collaboration: Work collaboratively with team members to support organizational goals and initiatives.
  • Delegation: Assist the executive team with task delegation and monitor progress to ensure timely completion.

Qualifications:

  • Language Skills: Fluency in English and Spanish is required.
  • Experience: Previous experience in an administrative or executive assistant role is preferred.
  • Technical Skills: Proficiency in Google Suite, Microsoft Office, and - CRM systems; ability to quickly learn new software.
  • Communication Skills: Strong written and verbal communication skills with the ability to engage effectively with diverse audiences.
  • Organizational Skills: Excellent organizational and multitasking skills, with a keen eye for detail.
  • Leadership Potential: Demonstrated ability to take initiative and lead projects or teams.

Nice-to-Haves:

  • Some accounting experience, such as familiarity with QuickBooks Online, is a bonus.
  • Experience with business financials and assisting executives is advantageous.
  • High-level team leadership experience is a plus.
