Responsibilities

We are looking for a high-energy event professional with strategic vision and excellent logistics management experience. This professional is responsible for supporting the execution of SCA group meetings, retreats, board meetings, industry conferences and other training and marketing events for teammates.

The ideal candidate must demonstrate the ability to prioritize, multi‐task and provide the highest level of service to the needs of our teammates and stakeholders.

Principal Responsibilities:

  • Manage new meeting request for SCA Health teammates; support contracting, catering, room set-up, audio equipment, etc. related to SCA group meetings, retreats and events
  • Support logistics management including block management, technology requirements, production and schedules, food and beverage and BEO approval, as well as pre-, on-site and post- event logistics and billing as required
  • Work with SCA teammates to develop agenda content for events including speakers, topics, community service, wellbeing and other areas required
  • Share policies and best practices with appropriate teams
  • Provide information on the events to the marketing, communication, and events team for promotion on the website including details for registration, photographs (after events), listing of vendors, listing of attendees, etc.
  • Responsibilities include forecasting (budgeting) and managing various meeting revenue areas and expense budgets to meet SCA objectives and goals
  • Review financial information for accuracy, such as invoices for services and materials; hotel/vendor invoices, subcontractor invoices, etc. and assist in the preparation of the final financial reports
  • Manage refunds, event related accounting, filing and billing functions and expense report reconciliation
  • Responsible for monitoring, communicating and responding to member and miscellaneous emails coming to the events team and the department, on or any other customer services areas for the department
  • Design and produce the best quality events, with attention to the details, ensuring a flawless experience for SCA attendees, sponsors, vendor partners and volunteers
  • Provide administrative support for event strategy team, including managing SCA Connect page, event strategy portal, accounting and invoicing, etc.

Qualifications

  • Minimum 3 years meeting planning and logistics experience in a multi-departmental environment
  • Bachelor’s Degree
  • Strong technical background and experience with company/organization wide databases, web and website applications and preferred meetings industry technology software tools (meeting planning logistics, Web/Smartphone, registration/badge, evaluation/surveys tools, and CE software applications)
  • Proficient in the latest versions of Microsoft Word, Excel, PowerPoint, and mail merges; Cvent and other meeting technology platforms
  • Highly developed interpersonal skills, ability to network, and demonstrated high level of confidence and poise with a strong member service orientation
  • Ability to prioritize and manage multiple projects and work
  • Excellent interpersonal skills both in person and by phone, with high professionalism
  • Demonstrated personal integrity in negotiations with vendors and contractors
  • Ability to travel nationally to support projects and business requirements
