Job description

Overview:

Medaca is looking for a Bilingual Reports Coordinator to join our team!

 

The Reports Coordinator is part of the Early Intervention Service Team.  The focus of this role is on quality assurance and the reading of all mental health assessment reports to ensure the company meets and exceeds service delivery deadlines.  In this role, you will navigate between email and database to review, proof read and approve reports to the next QA level. You will have to manage and complete scheduled tasks, working with both internal team members and our external network.

 

The schedule is Monday-Friday 8:00am-4:00pm or 8:30am-4:30pm.  

 

Responsibilities:
  • Responsible for all English report reviews; escalating to next level of QA as required
  • Manage, monitor reports inbox to ensure quality, accuracy etc
  • Manage, monitor and complete workflows keeping service standards in mind
  • Audit to see what psychiatrists/therapists are consistently late with reports, other audits as required; report findings to Team Leads
  • Manage and book weekly calls to psych team with Manager; attend call and log info in spreadsheet post call
  • Provide overall support to the department, assist in the daily distribution of , and ensure all report timelines are met. Provide support to other company departments where necessary.
  • Handle report follow up with doctors and clients to ensure that deadlines are met
  • Promote effective and efficient utilization of all resources and makes necessary recommendations for improvements to management as needed.
  • Provide insight and direction to management on consultant quality, availability and compliance with all company policies and procedures.
  • Perform quality assurance review of reports, correspondences and/or addendums or supplemental review as needed. This is a minor part of the role.
  • Participate in various educational and or training activities as required
  • Perform all other duties as assigned by management.

 

Qualifications:

QUALIFICATIONS 

  • Post secondary education is an asset, or experience in a related field
  • Customer service experience is required; Education or work experience in a quality assurance discipline considered an asset
  • Strong organizational and time management skills necessary in a fast-paced, deadline-driven environment
  • Able to handle multiple demands and shifting priorities
  • Accuracy and attention to detail, producing error-free work
  • Strong written and verbal communication and comprehension skills.
  • Ability to exercise tact and discretion in handling confidential information
  • Personal interest in the mental health field with the goal of providing excellent care and service for patients
  • French is an required
  • Must possess a working knowledge of medical legal aspects of medical records and health information principles.
  • Must demonstrate accuracy and thoroughness. Looks for ways to improve and promote quality and monitors own work to ensure quality is met.
  • Must demonstrate exceptional communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed.
  • Must possess complete knowledge of general computer, fax, copier, scanner, and telephone systems.
  • Must be knowledgeable of multiple software programs, including but not limited to Microsoft Word, Excel, and the Internet.
  • Able to follow instructions and respond to upper managements’ directions accurately
  • Must be able to work independently, prioritize work activities and use time efficiently.
  • Must be able to maintain confidentiality.
  • Ability to follow all company policies and procedures in effect at time of hire and as they may change or be added from time to time.
