Job Summary:
Serves as primary IS liaison to the business area to ensure overall expectations are met or exceeded for all IS Application Service needs. Responsible for understanding and documenting business needs as well as recommending appropriate IS solutions. Maintains operational workflow documentation. Provides 24x7 on-call operational support for the team’s portfolio of applications. Capable of managing external IS vendor relations for up to 5-7 business and/or clinical applications. Manages 3-5 small/medium business projects employing IS Project Management Methodology, Tools and Templates. Reviews release notes for system upgrades and updates to understand IS build implications and end-user impacts. Provides input to and/or develops application training material and conducts user training sessions as applicable.
Job Responsibilities:
Customer Relationship Management -
Serve as primary IS liaison to the business area to ensure overall expectations are met or exceeded for all IS application service needs. Maintain good working knowledge and documentation of business processes, workflows and regulatory requirements. Facilitate effective customer engagement through regular meetings, rounding, participation in IS initiatives, and communications regarding requirements, enhancements and priorities. Provide input on application needs to the annual IS strategic planning process.
Business Analysis/Solutioning -
Responsible for understanding and documenting business needs as well as recommending appropriate IS solutions. This involves defining use cases, research and analysis of functional needs and technical system analysis. Conduct impact or gap analysis. Actively participate in Workouts and Six Sigma LEAN events. Collaborate with customer to develop and design future state business processes. Work with customers, Virtua IS technical resources, and vendors to identify and document business processes and workflows. Create documentation of current and future state workflows and process maps in narrative and visual formats, such as Microsoft Visio. Work with vendors to ensure delivery of system that meets the requirements. Develop appropriate test plans and complete unit and integrated testing for supported applications. Prepare required testing validation documentation and obtain review and necessary approvals for go-live. Prepare and maintain Standard Operating Procedure documents for supported applications following department format. Help establish SLAs and track vendor compliance with SLA, escalating any deficiencies to manager. Provide input to manager in financial planning and budgeting process.
Application Life Cycle Management -
Working knowledge of customer workflow, application software architecture and associated building tools to properly build and maintain the application components from detailed design specifications, i.e., screens, pathways, table maintenance, forms, templates and reports. Maintain operational workflow documentation and troubleshoot issues identified pre and post live. Coordinate, plan and implement smaller application upgrades. Actively participate in team application upgrade activities including unit/functional testing, mapped record testing, integrated testing, data validation, end user acceptance testing and production system readiness. Participate in the development and testing of necessary disaster recovery plans to ensure business continuity. Ensure that data coming across an interface into assigned application meets the operational/clinical needs. Adhere to all Virtua IT standards for application life cycle management.
Operational Support -
Provide on-call 24x7 operational support for the team’s portfolio of applications. Triage and resolve tickets and work orders on timely basis. Ensure application supports the IS hardware, software and security standards. Adhere to IS standards with Problem Management, Change Management, Content Management, Data Courier and IS practices as required to provide 24x7 support. Ensure high availability and performance of business and clinical applications meeting defined SLAs.
Vendor Management -
Manage external IS vendor relations. Coordinate vendor management tasks to track, measure, report and evaluate vendor’s performance. Acts as IS liaison with external vendor and internal business areas to ensure business needs are met. Ensure collaboration with applicable IS areas to ensure vendor partners effectively fulfill contractual obligations.
Project Management -
Manage 3-5 small/medium business projects employing IS Project Management Methodology, Tools and Templates. Participate as a representative of IS and as an applications subject matter expert on other projects, including enterprise level projects, to advocate for necessary requirements.
Application Systems Administration -
Provide ongoing system administration support. Define, build, and maintain security roles. Create and maintain master tables, which may include items such as units/locations, codes such as CPT or ICD, physician files, and so forth. Create and maintain system forms and templates. Provide input and/or develop application training material and conduct user training sessions as applicable. Create and run queries as needed. Monitor interface messages and error queues to help resolve failed messages.
Position Qualifications Required:
Required Experience:
Minimum of 3-5 years’ experience in Information Services or related area. Proficient with MS Office applications, including Word, Excel, Visio, Project, and PowerPoint. Expertise in multiple healthcare applications is highly recommended. Excellent facilitation and communication skills. Business or clinical specialty experience is highly recommended.
Required Education:
B.A./B.S. in Information Systems or related field required. Combination of relevant education and experience will be considered in lieu of a degree.
Training / Certification / Licensures:
Business Analyst Certifications a plus.
