Operations Manager Virtual Assistant

Location: Remote Based in the Philippines

Hours: Must be available full-time during Austin, TX business hours (CST/CDT)

Industry: Real Estate (Brokerage, Investment, or Property Management)

Job Requirements:

Required Experience & Skills

- 3+ years experience as an operations manager, executive virtual assistant, or transaction coordinatorpreferably supporting a U.S.-based real estate company

- Strong understanding of U.S. real estate processes including:

Listings and MLS platforms

Transaction coordination

Contract timelines (TREC forms a plus)

Title, escrow, and mortgage processes

- High-level proficiency with tools such as:

CRM: Follow Up Boss, HubSpot, Salesforce, or similar

Project Management: Asana, ClickUp, Trello

Document Tools: DocuSign, Dotloop, Google Workspace, Microsoft Office

- Exceptional English communication skills (written and spoken)

- Detail-oriented with strong organizational and time management abilities

- Proactive and capable of working independently with minimal supervision

- Able to handle confidential information with discretion

Core Responsibilities

- Oversee daily operations and ensure smooth workflow for the real estate team

- Manage transactions from contract to close:

Coordinate with title companies, lenders, buyers, and sellers

Track deadlines, schedule inspections/appraisals, and ensure compliance

- Maintain and update CRM systems, follow-up trackers, and reporting dashboards

- Coordinate broker and agent calendars, meeting prep, and inbox management

- Support marketing efforts:

Prepare property listings

Schedule social media and email campaigns

Coordinate with photographers, designers, and vendors

-Assist in onboarding new agents or VAs, creating SOPs, and optimizing systems

Preferred Qualifications

- Previous remote experience supporting a U.S.-based real estate team or brokerage

- Knowledge of Texas real estate market or TREC guidelines (a plus)

- Real Estate Virtual Assistant certification or Real Estate License (PH or U.S.)

- Familiarity with QuickBooks or similar for basic bookkeeping or expense tracking

- Experience with U.S. tax reporting support (e.g., 1099 prep) is a bonus
