Key Responsibilities:
Supervisory/Management
Supervise Access/Revenue Cycle/Scheduling/Call Center staff and functions under the direction of the Sr. Administrative Services Director.
Monitor daily activities and production, ensuring staff consistently meets performance standards.
Develop and implement registration processes, including demographic and insurance verification, and copay collection.
Oversee scheduling protocols and ensure staff is trained and continuously updated.
Manage call center operations, including tracking call volume and reporting metrics monthly.
Oversee back-office functions such as financial reporting, patient refunds, accounts, billing, medical records, referrals, and scanning.
Ensure compliance with UAMS and insurance carrier deadlines.
Perform administrative duties, including hiring, training, evaluating, and counseling employees.
Review revenue cycle data and metrics, providing monthly reports.
Conduct monthly staff meetings to address responsibilities and professional development.
Implement corrective actions to improve performance and align with organizational goals.
Ensure access-related patient care functions continue during downtime or emergencies.
Role-Specific Duties
Ensure the team meets referral turnaround, call statistics, quality, and customer service expectations.
Provide leadership with detailed information on barriers to scheduling to improve access.
Develop and maintain formalized training plans.
Serve as the primary contact for access-related patient complaints, resolving issues and conducting root cause analysis.
Financial/Operational Management
Collaborate with leadership to manage financial and operational activities.
Provide monthly reports to Sr. Administrative Services Director and other leadership.
Ensure compliance with regulations and report concerns promptly.
Assist with variance reporting, expense tracking, contract reviews, and financial analyses.
Departmental Procurement
Manage purchase requisitions, ensuring compliance with UAMS policies.
Coordinate with vendors, track orders, and resolve discrepancies.
Recommend process improvements for procurement efficiency.
Manage vendor contracts and agreements.
Travel Administration
Coordinate travel arrangements in compliance with UAMS policies.
Audit travel pre-authorizations and expense reports.
Serve as a primary contact for travel-related inquiries.
Maintain travel records and generate reports.
Manage department P-card/BTA card reconciliations.
Customer Service
Provide professional and friendly assistance to internal and external stakeholders.
Maintain confidentiality and demonstrate effective communication skills.
Foster positive relationships with co-workers and management.
Professional Development
Attend required training, staff meetings, and educational in-services.
Maintain job skills competencies and complete annual assessments.
Document continuing education hours.
