Job description

This is a remote position.

Work Schedule: Monday to Friday 8:00am to 5:00pm Sydney Time with 1 hour unpaid break.

Job Type: Full-time

Responsibilities:

  • Manage all client and contractor communications via email and phone, ensuring timely responses to inquiries
  • Handle job cost allocations and maintain 100% accuracy in financial tracking using Future Builder and Dext
  • Process accounts payable and receivable, including invoice matching and reconciliation
  • Manage daily cash reconciliation and maintain all accounts in current status
  • Coordinate payroll processing and batch payment uploads through NAB Connect
  • Maintain comprehensive documentation for each construction project including work diaries, plans, and compliance records
  • Support trade scheduling by tracking work completion and updating project status
  • Chase contractors for pricing, variations, and RFI responses to prevent project delays
  • Ensure all contractor compliance documentation (insurances, licenses) is current and properly filed
  • Create and maintain Standard Operating Procedures (SOPs) for all assigned tasks
  • Monitor project profitability and provide regular financial reporting

Scopes:

  • Full responsibility for financial administration replacing current bookkeeper
  • Primary point of contact for all non-technical client communications
  • Complete ownership of compliance documentation and contractor coordination
  • Support for 2-3 concurrent custom building projects
  • Direct collaboration with business owner on project administration
  • Authority to chase contractors and suppliers for timely responses
  • Responsibility for maintaining organized digital filing systems across all projects
  • Regular reporting on project profitability and financial status


Requirements

 

  • Proven experience with construction or trade industry administration
  • Strong proficiency with job management software (Future Builder experience preferred)
  • Experience with accounting software, particularly Dext/Receipt Bank
  • Excellent written and verbal communication skills for client and contractor interactions
  • Strong attention to detail for financial reconciliation and compliance tracking
  • Ability to manage multiple projects simultaneously while maintaining accuracy
  • Understanding of construction workflows and trade coordination
  • Experience with payroll processing and accounts payable/receivable
  • Proficiency with banking platforms (NAB Connect experience advantageous)
  • Self-motivated with ability to work independently and take initiative
