Job Role: Virtual Assistant (Lead Generation) (004 - 00185)

Work Schedule: 40 hrs / week (Australian Timezone, YES!, that means day shift here in the Philippines!)

Salary: 1300 - 1500 AUD / Month

Contract Type: Independent Contractor Agreement; Full-Time; Remote

Who The Client Is:

The client is the largest supplier of drinking water coolers and industrial process chillers in Australia. Established in 1994 through the amalgamation of three companies specializing in chilled technology, the company has a proud heritage dating back to 1946 with the manufacture of packaged water chiller units.

Today, the client offers a comprehensive range of products, including bottled water coolers, point-of-use water coolers, mains-connected systems, drinking-water fountains, and industrial process chillers. They also provide installation services and a full suite of after-market support, including sanitization, repair, and a wide selection of accessories to meet their clients' diverse needs.

Role Overview:

We are seeking a highly organized and detail-oriented Virtual Assistants to support our administrative, purchasing, and customer communication functions. The successful candidates will handle a variety of routine, process-based tasks that are essential to the smooth operation of our business. Ideal candidates are proactive, tech-savvy, and capable of working independently while following clearly defined procedures and scripts.

Key Responsibilities:

  • Purchasing & Supply Coordination
  1. Perform ad hoc purchasing tasks (e.g., office supplies, spare parts)
  2. Follow up with suppliers and update purchase order ETAs in the system

  • Customer Order Management
  1. Enter customer orders into the ERP system
  2. Update order ETAs and communicate delays to customers
  3. Escalate any non-standard or complex orders to the Australian team

  • Administrative Support
  1. File and digitally archive chiller-related paperwork
  2. Assist with RMA processing, including shipping paperwork preparation

  • Lead & Prospect Management
  1. Action incoming leads from spreadsheets (send intro emails, escalate when needed)
  2. Mine databases and LinkedIn for contractor data and build prospect lists

  • CRM and Data Maintenance
  1. Maintain CRM database (update contact info, validate records)
  2. Create structured reports for internal use
  3. Conduct follow-up calls or emails to customers post-visit for feedback

Requirements

  • Proven experience as a Virtual Assistant or in a similar administrative role
  • Excellent written and verbal communication skills
  • Proficiency with tools such as spreadsheets, CRMs, and ERPs
  • Strong attention to detail and organizational skills
  • Ability to follow scripts, checklists, and standard procedures
  • Comfortable handling repetitive tasks and large volumes of data
  • Self-starter with the ability to work independently in a remote setup
  • Experience with LinkedIn and lead generation tools is a plus
