About the Role:
We are seeking a detail-oriented and proactive Operations Specialist to join our team. In this role, you will be responsible for collecting, reviewing, and verifying auto dealer documents to ensure compliance with regulatory standards and company policies. The ideal candidate will have a strong attention to detail, exceptional organizational skills, and a deep understanding of compliance regulations within the automotive industry. This position plays a critical role in supporting the overall operations of the organization, ensuring that all necessary documentation is accurate and complete, and any compliance issues are promptly identified and addressed.
Key Responsibilities:
Collect and organize auto dealer documents, ensuring completeness and accuracy.
Review and verify documents to ensure compliance with industry regulations, company policies, and legal requirements.
Identify discrepancies or missing information, and work with dealers to resolve issues in a timely manner.
Maintain accurate records of all compliance documentation and activities.
Communicate effectively with internal teams and external partners to address compliance-related matters.
Stay up to date with changes in automotive industry regulations and compliance standards.
Assist with audits and reporting processes related to compliance and document management.
Provide support for continuous improvement initiatives in compliance practices and operational processes.
Work closely with internal teams, including marketing, and the product team, to align client objectives with company goals.
Maintain accurate and up-to-date records of client interactions, agreements, and future touchpoints.
General office duties such as; inbound phone work and issue resolution.
Adapt/adjust role as needed and requested by the leadership team.
Education and Experience:
Bachelor’s degree or equivalent experience in operations, business administration, or related field.
Proven experience in document review, data verification, and strong customer service, preferably in the automotive industry.
Knowledge of both vehicle Title processing and Payment workflows preferred.
Skills and Competencies:
Strong interpersonal and communication skills, both written and verbal
Exceptional problem-solving abilities
Ability to manage multiple accounts and prioritize tasks effectively
Proficiency in CRM software and other relevant tools (e.g., HubSpot)
Analytical mindset with the ability to interpret data and develop actionable strategies
A customer-focused attitude with a passion for delivering excellent service
Ability to recognize ways to improve processes and systems
An “All In” attitude
Willingness to pick up the phone and “make the call”
